Job summary

The Primary Care team is looking to recruit an experienced business administrator to lead and manage a central business support team. The team works with colleagues across the wider Primary Care team, to support the delivery of efficient, effective and safe Primary Care services, through working with GP Practices, community pharmacies, dental practices, optometric practices and other stakeholders.

We are looking for someone who can work independently, as well as part of a team and has the ability to plan and prioritise workload to meet deadlines.

You'll be an effective and confident communicator and trusted with confidential matters on a day-to-day basis.

You'll work with internal and external partners and agencies of the Health Board e.g., senior members of the Health Board, Welsh Government officials, independent contractors, members of the public etc.

This is an exciting role, which will provide you with an excellent insight into the delivery of Primary Care services.

Main duties of the job

You and your team will be responsible for arranging and organising a programme of meetings to support the work programme of Primary Care.

This will include the preparation of agendas and minute taking of key meetings, as well as providing high quality reports, to support the work of the team. Your team will be the first point of contact for any queries (e.g., by phone, email or in person), liaising with other Primary Care colleagues as needed.

You'll be responsible for establishing systems for the routine collation, analysis and interpretation of information, ensuring that data and information is kept accurately and comprehensively and that processes and policy is available.

You'll support in the implementation of effective reporting systems at all levels, ensuring all internal and external reports represent an accurate reflection of performance and meet timescales imposed, analysing and interpreting the information where necessary.

You'll be expected to work flexibly, providing leadership to your team and identifying areas of training and/or development.

You'll have a good knowledge of Microsoft Office products and be able to exploit their capabilities to maximise the effectiveness of your team.

You'll need to maintain a comprehensive overview and understanding of the team's activity and proactively manage the support needed to ensure service delivery expectations are met.

About us

Hywel Dda University Health Board plans and provides NHS healthcare services for people living in Carmarthenshire, Ceredigion, Pembrokeshire, and bordering counties.

We have over 13,000 staff and together we provide primary, community, in-hospital, mental health and learning disabilities services.

We work in partnership with the three local authorities, as well as public, private and third sector colleagues, including our valued team of volunteers.
