Job summary
We have an exciting opportunity for an enthusiastic and motivated part-time Health Centre Administrator to join our team in Haverfordwest Health Centre. The post holder will work 15 hours per week and the working pattern will be confirmed.
Haverfordwest Health Centre provides a range of services and clinics including dental, district nurses, podiatry and more. We are looking for someone to provide a comprehensive reception, secretarial and administrative support to clinical staff and clinics. The post holder will demonstrate exceptional customer care and front of house skills together with excellent professional communication skills to handle phone calls and liaise with a variety of health and social care professionals and members of the public.
The post holder will be competent to work without continual direct supervision, but will also work as part of a team and assist with specified secretarial clinical and premises duties in the provision of the efficient, caring, patient focused service.
The post holder will have high quality IT and telephony skills and will be expected to communicate effectively and sensitively and be aware of the confidential nature of the role.

Main duties of the job
- Provide a welcoming, professional and courteous service to patients and visitors who visit the Health Centre and assist patients and visitors using a variety of communication methods, either in person or other means.
- Check in patients, assist visitors, provide any required documentation or information leaflets and provide directions/signposting.
- To manage and action Pembrokeshire Community clinic administration in a timely manner using WPAS system or similar
- Responsible for accurate filing, both physically and electronically of patient information in a timely manner
- Be the first point of contact for any estate, maintenance and hotel facilities matters relating to the Health Centre, coming in or out of the premises.
- Support the Business Service Officer in the management and coordination of Health and Safety and Security relating to the premises.
- To ensure that the premises is welcoming and tidy
- To undertake duties relating to general administration such as incoming and outgoing mail, room booking management, photocopying, scanning, audio typing transcription of clinicalinformation, booking transport etc.
- Competent use of computer systems for entering and retrieving patient information on both Health Board and local systems.
- Manage time effectively to ensure that work is completed within timescales.
