Job summary

An exciting opportunity has arisen for a highly motivated individual who has the enthusiasm and ability to work in a challenging but equally rewarding NHS business support environment within Hywel Dda University Health Board's Community Dental Service.

Working closely with members of the team, the post holder will provide the Team with efficient, effective and proactive administrative and project support and ensure that appropriate processes and procedures are in place which enhance the ability of the Team to deliver its business goals.

We are looking for an individual with good communication skills, an ability to work flexibly and respond to changing work priorities in a busy environment. Excellent IT skills, including the use of Microsoft Word, PowerPoint, Excel, e-mail systems is essential. Knowledge of dentalclinical systems such as SOEL or R4 is desirable.

The role will carry with it a varied workload and competing deadlines, so you will be able to use your own initiative and prioritise, although you will have access to relevant supervision and support.

Main duties of the job

Manage the Community Dental Service electronic referral management process.

Manage the Community Dental Service SharePoint, by being the first point of contact for queries, using initiative and judgement on necessary action to be taken and dealing sensitively with distressed/angry callers.

Organise and administrate meetings and events when required. Liaise in a professional manner with patients, relatives, carers, colleagues, clinicians and other professionals.

Process incoming and outgoing correspondence for the service, including but not exclusively, the management of FTA letters, discharge letters and correspondence with primary, secondary care and community colleagues. Ensuring urgent action is taken where appropriate and that all correspondence is recorded on the clinical system.

The post holder will adhere to the Health Board Guidelines and undertake any other duties as appropriate to the nature and grade of the post.

Highly specialised and tertiary services commissioned by the Welsh Health Specialised Services Committee, a joint committee representing seven health boards across Wales.
