An exciting opportunity has arisen for an enthusiastic individual to join our team to undertake the role of Communications, Engagement, and Involvement Assistant
This role is part of the Communications, Engagement and Involvement team within Health and Care Research Wales. Health and Care Research Wales is a networked organisation, supported by Welsh Government, which brings together a wide range of partners across the NHS in Wales, local authorities, universities, research institutions, third sector and others.
The post holder will require excellent communication skills, have a positive and flexible approach to the needs of the Service, be motivated, ready for the next challenge and enjoy working as part of a very busy team.
Main duties of the job
Provide operational support to the Health and Care Research Wales Communications, Engagement, and Involvement Team.
Work with colleagues to support the Communications, Engagement and Involvement function of the organisation and help with the day-to-day running of the department including:
- Provide administrative support for the press office ensuring that all media enquiries are logged, answered, or referred on.
- Support colleagues with writing, sharing, and filming content for various communication channels.
- Monitor press coverage: maintain press cuttings, photo library, distribution lists, contact databases.
- Support event coordination
- Provide administrative support for CE&I team

Job responsibilities
- Help to maintain Health and Care Research Wales website and upload news, project information, events and public involvement opportunities.
- Support colleagues with writing, sharing, and filming content for various communication channels
- Deals enquiries from the public via the Generic Email Inbox or telephone.
- Ensure all communication, engagement and involvement work is inclusive and meets the accessibility, Welsh Language and Equalities standards.
- Work with colleagues to help with website maintenance and ensure that it enhances the reputation of the organisation and conforms to the house style.
- Provide general of office administration to support the wider CE&I Team.
- Contribute to the effective communications of Health and Care Research Wales for example by sourcing information for newsletters, web material and social media posts.
- Use a variety of communications tools to support campaigns and events and involve partners and members of the public.
- Support the development of engagement and involvement activities and events. This could include scheduling events, organising rooms, liaising with participants and the promotion of events, coordinating attendance, post-event evaluation.
- Organise, prepare and provide efficient and comprehensive administrative support for the team meetings with internal and external stakeholders.
- Organise meetings, workshops and other events on behalf of the team, ensuring that plans are made in collaboration with other team members as appropriate, and where necessary, adjusted and reformulated.
- Support and contribute to the planning and organising of events for the Support Centre and the Health and Care Research Wales infrastructure as part of the wider Administration Team.
- The post holder will have a detailed knowledge of MS Teams and supporting applications as well as advanced keyboard skills
- Key member of the CE&I team.
- Provide support to the development of the CE&I strategy for Health and Care Research Wales.
- Contribute to the continued development of the Support and Delivery Centre as a whole through contribution at team meetings.
- Help oversee corporate promotional items stock and security and safety of technical kit.
- Participate in the informal induction and training of new staff in this setting.
- Maintain the departments stakeholder databases and media lists.
- Collate information and produce reports using desk-top publishing, website software for routine reporting.
- Providing helpful prompts and support to meet deadlines, for example, quarterly reporting on progress for each team as required.
- Implementing staff and stakeholder surveys using various online tools such as Mentimeter, Survey Monkey, Forms, and Share Point.
- Required to attend events and travel to other locations, and other organisations, as required across the Health and Care Research Wales footprint.
