Job summary
We are seeking a highly organised and proactive Administrator to join our Children's Occupational Therapy Team. This role is pivotal in ensuring the smooth running of our service, supporting therapists, children, and families by providing excellent administrative and clerical support.
You will be the first point of contact for enquiries, manage appointments and referrals, maintain accurate records, and support the team with a range of administrative tasks. We're looking for someone who enjoys working and supporting children and families, have great communication skills and have excellent organisational skills.
Main duties of the job
- Act as a friendly and professional first point of contact for families, schools, and external agencies
- Manage incoming calls, emails, and correspondence
- Schedule and coordinate appointments, clinics, and meetings
- Process and track referrals and waiting lists
- Maintain accurate databases, records, and documentation in line with confidentiality and data protection policies
- Support the team with report preparation, letters, and resources
- Assist with monitoring service performance data and producing basic reports
- Liaise with other departments and professionals as required
- Provide general administrative support to the wider therapy team
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
