Job summary
This is a key role within the Torfaen Borough Team in Primary Care and Community Division, providing comprehensive administrative and secretarial support.
The post holder with work independently to provide a comprehensive, professional and effective secretarial and administration within the team.
The role will include;
coordination and administrative services including for example, the preparation of all agendas and minutes and any appropriate follow-up action as required.
To provide project support during the development and implementation of strategic plans and service improvement projects.
Assist in the development of performance information and intelligence to support strategic planning and performance monitoring
Display a considerable degree of initiative, apply judgment and a high degree of confidentiality, and promote the values of partnership working. This might include supporting with the management of projects by gathering information, analysing and presenting information and undertaking enquiries as and when necessary. The work is varied and changeable, which reflects the nature of the wide portfolio held by the team.
This post is fixed term/secondment until 31st of March 2027 to cover secondment. If you are interested in applying for the secondment position, you must obtain permission from your current line manager prior to applying for this post.
Main duties of the job
- Provide personal assistant support and duties defined by the Head of Service, Assistant Head of Service and Senior Nurse
- The role involves coordinating and servicing meetings, supporting collaborative work with other agencies, and producing professional documents and resources.
- Prioritise workload and resolve conflicting diary requirements
- Create and maintain a suitable IT filing structure for easy identification and retrieval of documents. Maintenance of appropriate filing and administrative systems
- Arrange internal and external meetings, workshops and conferences, including liaison with meetings/conferences plus travel and accommodation arrangements
- Attend meetings and take minutes and record where necessary
- Following up on actions and co-ordination for future meetings
- Ordering and receipting of goods, including processing requisition invoices and orders for payment, keeping up-to-date with changing legislations as required
