Job summary
- Provide high quality administrative service to patients when attending the Endoscopy department, this includes updatingany patients details on Welsh Patient Administration System (WPAS), admitting patients onto Clinical Workstation (CWS)and Medilogik EMS.
- Retrieve, track and prepare notes ahead of patient attendance.
- Process referrals into the department and enter onto WPAS and Medilogik EMS.
- Make and receive calls from patients responding to partial booking letters.
Main duties of the job
- Greet patients upon arrival to their appointment in a warm and friendly manner. Ensuring all patient details are correct andup to date.
- Patient notes are prepared and correct ahead of time.
- Action any Cannot attend appointment (CNA), Did not attend appointment (DNA) and removal from WPAS as per protocolat the end of each day.
- Carry out general office duties including post, photocopying and processing relevant information.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

- To be flexible to the needs of the service and able to provide cover to all Endoscopy departments across the Health Board when required.
- Deal with telephone queries from both internal and external agencies in a professional manner in accordance with Data Protection and statutory policies and procedures. Escalate to Scheduling team Leader in accordance with policy.
- Receive calls in a friendly manner from patients who are responding to a partial booking letter.
- Ensure Endoscopy lists are booked appropriately and to capacity ensure list utilisation.
- Escalate any list utilisation issues through the appropriate channels.
- To provide and receive sensitive information to/from patients about their appointment via the telephone.
- Responsible for updating all waiting list entries.
- All staff to liaise with colleagues regarding annual leave prior to authorisation from Endoscopy Scheduling Team Leader.
- To attend all training and development opportunities relating to your role.
- Weekend working may be required.
