You will support teams across NICE to work more effectively with information, whilst also ensuring NICE can demonstrate compliance with information legislation and policies. Initially, you will be focussing on NICE's compliance with Public Records Act and ensuring NICE meets it's statutory requirements, in addition, you will play a central role in ongoing management of a comprehensive organisation-wide Records Management programme to ensure effective policies and processes are in place to support NICE business.
Main duties of the job
o Lead on the preparation of material for transfer to The National Archives, including the cataloguing, appraisal and sensitivity review of material for transfer.
o Support the Information and Records Manager in the development and management of a RM programme, designed to ensure records systems meet best practice and effectively support NICE's business including developing new ways of working in a new system - driving both compliance and operational requirements Ensure appropriate guidance is available to staff across NICE - update existing guidance as required, and making it suitable for translation to M365
o Assist the work to manage information and records in a new RM system (SharePoint/ Microsoft 365). Working with teams across NICE you will ensure information is reviewed and managed appropriately, reporting regularly on progress and any risks/ issues encountered to the Information and Records Manager
o Conduct annual audits against RM standards and help monitor compliance with relevant legislation and codes of practice such as the Public Records Act and NHS best practice on records management
o Work closely with the Information and Records Manager to develop key artifacts such as the retention and disposal schedule and business classification scheme o Manage off-site storage for inactive records- work to reduce their number and digitise where appropriate
