Job summary
DrPA is seeking a proactive and detail-oriented Operations Assistant to support the Operations Manager in the smooth running of our healthcare services. This role is pivotal in ensuring operational excellence, compliance with sector standards, and timely delivery of administrative and logistical support across our clinical and non-clinical teams.
The postholder works closely with the Operations Manager and other team members to ensure compliance, accuracy, and timely completion of operational tasks.
Main duties of the job
Key Responsibilities:
Undertake daily administrative and operational tasks to support service delivery, ensuring accuracy and timeliness.
Maintain accurate records, trackers, reports and databases related to operational delivery.
Coordinate the collection, collation, and updating of KPI data for internal and external reporting.
Coordinate internal communications between departments to ensure operational efficiency as directed.
Assist with scheduling meetings, preparing documentation, minute taking and tracking key deliverables.
Act as a first point of contact for access to systems and account log-on issues, investigating and resolving queries promptly.
Liaise with IT support and managers to ensure timely resolution of system/email access and system-related concerns.
Monitor & order supplies and equipment for services, ensuring a cost-effective and timely approach.
Liaise with external suppliers, contractors, and service providers ensuring issues are resolved promptly or escalated as appropriate to the Operations Manager.
Support onboarding and training of new staff within the operations function as necessary.
Contribute ideas to process improvement initiatives to streamline workflows.
Assist in ensuring company policies, health & safety documentation, governance and compliance procedures are kept up to date.
