Job summary

This role will be the first point of contact for many people outside of the organisation whether by phone, email or mail and guide the enquirer to the right person(s). This role provides important support to the Senior Management Team (SMT) with general administrative tasks i.e. scheduling of meetings, collating reports for board meeting, reporting minutes from meetings, developing accurate action plans and ensuring actions are followed up. This role will also hold more specific tasks such as supporting with transporting IT equipment to and from home working colleagues, maintaining the staff directory and managing the organisations SharePoint portal. As well as being the go-to person for trouble shooting.

Main duties of the job

Key Areas of Responsibility - includes but are not limited to:

First Point of Contact

- Via telephone, e,ail or mail ensure all external correspondence is sent to the most appropriate person for action.

General Administration

- Provide support to all members of the Senior Management Team as required.

-Support in the scheduling of meetings via teams or face to face, including the booking of the venue.

- Preparing board papers, minuting board meetings and following up on actions for key meetings.

-Manage and maintain PCL's SharePoint Portal, ensuring staff have access to appropriate folders.

-Maintaining contact lists of teams and coordinate distribution lists on behalf of the company.

- Maintaining registers of equipment and company assets. Organizing maintenance and repairs of equipment.

- Manage the process of organizing and the running of PCL's Annual General Meeting.

- To support with the submission of data returns where appropriate on behalf of the organisation.

- Supporting with the HR administration function as required by the HR Manager.

- To support the other departments as necessary at points of high workload across the company.
