Job summary

The Assistant Operational Lead role is designed to work closely with a specific project and provide close support to the Project Lead who will have ultimate responsibility for the outcomes and will direct your work during their absence. This role will carry an element of delivery, where agreed, to cover for team absences and service growth.

Main duties of the job

In this role, you will support the Project Lead with the day-to-day management and delivery of the service, acting as a key point of contact for Smoking Cessation Advisors, Healthy Lifestyle Advisors, Nutritionists, and administrative staff. You will help coordinate staff, oversee calendars, arrange session cover, and contribute to the development of project areas in line with the project plan. Your responsibilities will include monitoring stakeholder activity and performance, conducting data analysis, supporting financial processes, auditing data quality, coordinating venue bookings, and tracking patient flow to ensure positive progression through the service. You will also assist with governance procedures and produce regular progress reports. Alongside operational duties, you will deliver sessions, prepare venues and materials, monitor outcomes, support client engagement, and oversee curriculum development. As a line manager, you will provide staff supervision, carry out 1:1s and PDPs, conduct session observations, and support ongoing professional development. You will further contribute to quality assurance through internal audits and compliance monitoring, while also supporting project planning, reporting, service-wide initiatives, and stakeholder engagement.

Job responsibilities

Duties and responsibilities:

Managerial

  • To assist the Project Lead in the day-to-day running of the project
  • To be a point of contact for Smoking Cessation Advisors, Healthy Lifestyle Advisors, Nutritionists and Administrative staff queries
  • Assist the Project Lead in assembling and coordinating staff to facilitate project delivery: overseeing staff calendars; liaise with the admin team, coordinate staff to provide session cover when necessary.
  • Lead on developing certain areas of the project according to the project plan
  • Assisting the Project Lead in the tracking of project deliverables and outcomes
  • Support project lead with service observations
  • Perform session observations and feedback to staff
  • Support the line management of staff by performing staff 1:1s and PDPs
  • Oversee and monitor stakeholder activity and targets across all areas - liaise with stakeholder staff regularly, track performance according to service KPIs, work with Project Lead to set targets to improve performance
  • Undertake data preparation and analysis as requested by the Project Lead
  • Track and manage patient flow and outcomes through the system, as requested by the Project Lead to put actions in place for those who are not progressing as they should
  • To coordinate the booking, risk assessing and use of various delivery venues
  • Support the Project Lead with financial duties including the processing staff expenses and invoices relating to the project
  • Lead on the updating of data where data completeness is an issue
  • Audit of data quality to ensure that patient data is up to date and identify issues with data completeness and validity: oversee and coordinate monthly

  • Provide line management to a team of practitioners and support staff.
  • Conduct regular 1:1s, appraisals, and support professional development.
  • Lead staff observations to ensure quality and consistency in service delivery.

Quality Assurance & Auditing

  • Conduct internal audits and contribute to external audit preparation.
  • Monitor compliance with service standards, policies, and procedures.
  • Identify areas for improvement and implement corrective actions.

Project & Stakeholder Support

  • Support Project Leads with planning, reporting, and stakeholder engagement.
  • Assist in the coordination of service-wide initiatives and pilots.
  • Represent the service in meetings and contribute to strategic discussions.

Essential Skills & Experience

  • Experience in operational or team management within health or wellbeing services.
  • Strong understanding of quality assurance and audit processes.
  • Excellent interpersonal and communication skills.

  • Proficient in using digital tools for reporting and service management.
