Job summary
First Contact Administrator will provide a responsive
administrative service, clerical and administrative support to facilitate the
smooth running of the following services:
First Contact and
24-7 Advice and Support Line
Community Palliative
Care Team
Inpatient and Rehab
Wards
You will be part of the
team that acts as the first point of contact into the Hospices services. You
will answer telephone calls from people who may be in difficult and stressful
situations, provide advice and signpost to other services or agencies. You will
also undertake associated administration and data entry.
Administrators participate in a rota that facilitates our
24-7 Advice and Support service. This
will include responding to telephone calls and taking referrals from people
with serious life limiting or end of life illnesses or bereaved relatives and
friends.
Main duties of the job
Telephone
Enquiries and Patient Referral
Respond to enquiries
by both telephone and face-to-face in a calm, sensitive and professional manner
taking accurate messages as required and ensure these are passed onto the
appropriate person.
Deal appropriately
with callers who may be upset, distressed, angry, aggressive or abusive and
maintaining a professional standard of behaviour at all times referring to
senior staff where necessary.
Take referrals using
effective communication skills and pass on to an appropriate healthcare
professional.
Provide non-clinical
advice to callers within own limitations including advising of Hospice services
and signposting.
Liaise with internal
departments, i.e. social work, therapies, day hospice as directed to convey or
request information.
Respond to routine
correspondence and emails received internally or externally.
Facilitate emergency
admissions to Inpatient unit, ensuring that a new patient record is created and
appropriate information obtained.
Administrative
Duties
Create and update
data on Cross Care interrogating the database as required in response to
queries regarding the patients.
Provide clerical and
administrative support including photocopying, sending and processing emails,
and dealing with electronic patient records.
Scan/ upload
documents in accordance with current guidelines for the maintenance of
Electronic Patient Records

About the job role
We have an exciting opportunity for a Clinical Support Administrator in our First Contact Team at St Josephs Hospice. We are looking for someone who has experience in administration and working in a healthcare environment.
The First Contact Team is a dynamic one-stop service that transforms the way patients and referral agencies access the Hospices services. An opportunity has arisen for a Full Time Administrator to join the First Contact Team. If you are a successful applicant, you will be part of the team that acts as the first point of contact into the Hospices services. You will answer telephone calls from people who may be in difficult and stressful situations, provide advice and signpost to other services or agencies. You will also undertake associated administration and data entry.
The service operates 24 hours over seven days a week for advice whilst referrals will be taken mainly in daytime hours. You will work 37.5 hours every week. Shift patterns will vary and you will be expected to cover shifts from Monday through Friday, 8AM to 9PM, plus occasional weekends according to the rota.
About you
You will need:
- Effective communication and interpersonal skills
- Substantial experience in a telephone based contact centre environment
- The ability to remain calm whilst working in a pressurised environment
- That you are able to deal sensitively and empathetically with people in distress
- That you can work constructively as part of a team
- The ability to pay close attention to detail, accurate recording and data entry skills
