As a Nursing Administrator you will be instrumental in guiding patients through their
journey while supporting the Nursing team.
This is a hugely varied and wide-ranging role it has everything from arranging
appointments, conducting clinic list checks, raising invoices, sending patient
treatment protocols to working alongside our Patient Advisors and even occasionally
chaperoning for the Nurses and Consultants. Youll also liaise with everybody,
from all disciplines, across the clinic as well as with other Care clinics and
third parties.
It is an
administration-based role but its not purely administration. Yes, you will be
performing general administration duties but you wont just be sat behind a
desk all day.
Main duties of the job
About
you
Previous
experience of working in administration in a medical environment would be ideal
as you will have a better understanding of the role. However, it is not
essential, as long as you are flexible, eager to learn, are able to work alone
as well as part of a team and have great attention to detail.
Experience
in both customer service is also desirable as you should have a strong
understanding of delivering service excellence to people with accuracy and in a
timely fashion. We are looking for great team players with a desire for
continuous personal and professional development who are able to work as part
of a team and independently.
Excellent
verbal and written communication are required as youll be dealing with people
from all backgrounds and disciplines, making and taking calls, delivering a
high-quality patient experience you're acting as a Care Fertility
ambassador in all interactions.
Location/Benefits
This is a part-time role working 15hrs a week (we can be flexible with
times/days worked, we are open from 08:00-17:00 Mon-Fri) at our
Northampton clinic (67 The Avenue, NN1 5BT). If you drive, we have free onsite
parking.

Job responsibilities
As a Nursing Administrator youll provide administrative support to the nursing team to ensure delivery of a high-quality patient experience and patient care.

Role accountabilities and duties:
Manage incoming enquiries ensuring messages are triaged, dealt with appropriately and efficiently, ensuring excellent customer service.
To follow a range of digital processes on the patient database ensuring records are kept up-to-date.
To work collaboratively with all members of the multidisciplinary team and other external agencies to ensure good communication and excellent patient journey.
To ensure information communicated to patients is clear and accurate and fully documented in patient notes and electronic records. Recognise when to refer to your line manager /fertility nurses/ colleagues.
To ensure work is carried out efficiently and with the right priorities and to deliver continuous improvement to processes and procedures. To escalate problems when appropriate.
To be up-to-date with all patient information, policies and training related to role.
Support the nurses in ensuring patients are provided with appropriate and relevant information when required.
To ensure all tasks delegated by nurses are completed promptly and effectively, communicating to patients when required.
To carry our office administration including preparing patient information packs and leaflets and ordering office supplies
To assist in maintaining accurate records and statistics and contribute to internal and external audits and inspections.
To register cycles when required and ensure HFEA donor information is sent following donation and activated on CIS within the appropriate timescales
To attend Nursing Team meetings
Flexibility of working hours to meet the needs of the service if required.
Teamwork and collaboration
To work collaboratively and build trusted relationships with team colleagues and the wider multi-disciplinary team. Communicate in an engaging way to build relationships.
To actively participate in team meetings and clinic meetings, participate where possible in development projects, forums or research and development projects. Be supportive of new ideas and their implementation.

Maintain a high level of confidentiality at all times in accordance with the HFEA Code of Practice and Cares standard operating procedures.
To handle patient data responsibility by completing training on data protection and following Company requirements on data protection and information governance. Adhere to the principles of the General Data Protection Regulation 2016 and Data Protection Act 2018.
