Job summary

Options for Care is looking to recruit an exceptional Ward Clerk. The successful candidate will work with our existing mental health inpatient unit at Dartmouth House based in Handsworth Wood, Birmingham.

Our two established hospitals, Montague Court and Dartmouth House have successfully supported the needs of individuals with mental health diagnoses. We also have Orchard House, our recovery home, which provides a safe and supportive environment for individuals on their journey to mental health recovery. Furthermore, we eagerly anticipate the opening of Stanford Court, which is set to occur later this year.

Dartmouth House is a 16-bed male long-term complex care mental health inpatient unit based in Handsworth Wood, Birmingham.

Montague Court is an 18-bed male long-term complex care mental health inpatient unit based in Edgbaston, Birmingham.

Stanford Court will be a 23-bed male mental health inpatient unit based in Highgate, Birmingham. This will consist of a 19-bed enhanced care service and four self-contained recovery flats to enable assessment of daily living skills in preparation for discharge.

Orchard House is an 8-bed residential step-down service based in Erdington, Birmingham, which allows extension of the long-term complex care pathway.

Main duties of the job

As a valued member of the clinical team, the post holder will play a vital role in ensuring the seamless operation of the clinical area. The Ward Clerk will be responsible for a wide range of clerical and administrative duties that are directly related to providing exceptional care to service users and maintaining the smooth functioning of a hospital environment. In addition, the post holder will be tasked with communicating important and accurate information to both the multidisciplinary team and senior staff, as directed by the Registered Manager, in order to support and maintain service user flow.

Job description

Job responsibilities

As a Ward Clerk, your primary duties will encompass maintaining the ward diary in an orderly and current manner, managing incoming calls and messages, recording messages for relevant departments, and contacting outside agencies as needed. Additionally, you will be responsible for greeting and directing visitors to their intended destination or appointment. You must also keep a record of all maintenance issues and work with the maintenance contractor to ensure prompt resolution.

Another crucial task is overseeing petty cash, including managing service users' funds and conducting a weekly audit. You must also ensure that CPA outcomes are sent to GPs, CPNs, and CCG members within two weeks of the CPA and that the audit is completed and forwarded to the Registered Manager, Corporate Secretary, and Operations Director. You will also be accountable for placing orders, including managing and ordering office and clinical supplies, and conducting the weekly food shop as instructed by a Nurse or Registered Manager.

Lastly, you must take notes during team meetings, format them, and distribute them to the wider team within the specified timeframe.
