Job responsibilities

We are currently looking for a Medical Records Lead to join our Digital Services Team on a 12 months fixed term contract.

Cygnet was established in 1988. Since then we have developed a wide range of health and social care services for young people and adults with mental health needs, acquired brain injuries, eating disorders, autism and learning disabilities within the UK.

*** Please note this role will be based at 1 Lakeside, Chester, CH4 9QT ***

As a Medical Records Lead you will manage, plan, organise the support and delivery of project we are currently undertaking to digitise all of our paper records. You will ensure that legal obligations for the creation and retention of records are met.

You will have a good working knowledge of Information Management and Data Protection as well as understanding the complexities of the records management lifecycle and maintaining a dual estate of both digital and paper records.

We are working on a large scale digitisation project that you would be required to lead on. This does mean you would be based full time Monday Friday at the Chester site.

DUTIES AND RESPONSIBILITIES

ADMINISTRATION

  • Oversee the management of electronic and paper-based information.
  • Identify the most appropriate records management resources.
  • Design and develop filing systems, business classification schemes and undertake records audits.
  • Set up and review documenting records systems.
  • Establish retention and disposal schedules.
  • Manage the change from paper to electronic records management systems.
  • Respond to information requests regarding the location of records.
  • Support the Information Governance Manager with collating information for Access to Records requests.
  • Ensure compliance with relevant legislation and regulations.
  • Preserve corporate memory and heritage.
  • Keep up to date with all systems developments that deal with records management.

MANAGEMENT

  • Manage resources and report on some budget items.
  • Train and supervise 3 different teams of staff on the digitisation process.
  • Manage the workload of both yourself and the team.
  • Set and achieve targets for digitisation and availability of records.
  • Provide supervision and appraisal to the members of your team.
  • Oversee the temporary workforce digitising the records.
  • You will be the authorised signatory for time sheets, expenses and stock ordering for the warehouse.
