Job summary
This role is a broad and exciting position, working within our scheduling team and supporting operational activity across all ambulance and event delivery. As our Dispatch and Scheduling Administrator you will be involved with three key areas; the scheduling of our clinicians to ensure high shift coverage across ambulance and event operations, liaising with clients regarding requests for ad hoc transfers and the call handling and the dispatching of operational resources within commissioned services.

This role involves three key areas of responsibility:

- Assisting in organising Adhoc Transfer requests
Along with the above key responsibilities, this role may also involve supporting general business administration duties and above all else, engaging with the ethos of ECS to develop a rapidly growing business, striving for excellence.

Job responsibilities
Dispatch
Work within the control room, taking calls and ambulance requests from healthcare professionals and referring teams, loading incidents onto computer aided dispatch systems
Triage calls utilising policies and procedures
Dispatch operational resources appropriately to incidents and within Key Performance Indicators
Operate radio and computer systems to effectively communicate with ambulance crews
Ensure crews receive timely meal breaks and their welfare remains a high priority
Act as the first point of contact for crews, public and clients
Escalate issues to the Operational Managers in a timely manner
Report incidents or near misses appropriately, as per our policies and procedures
Scheduling
Assist managing scheduling staff to cover ambulance operational demand
Assisting with managing PAYE ambulance operations staff rotas
Working closely with the events team to manage scheduling of full-time and bank staff
Assigning staff on the ECS shift booking app (Humanity) and SCAS Frontline shift booking app (Skillstream)
Assisting with managing Skillstream
Administration of Ambulance Operations Run sheets, uploading data to spreadsheets and Skillstream
Quoting for private and Ad-Hoc ambulance transfers and sourcing staff for ambulance transfers
Patient Report Form administration and filing
General
Work as part of the ECS ambulance operations and office administration team
Promote an environment where everyone can share ideas for service improvement, whilst acting as the link between clinical staff and management, ensuring a collaborative and cohesive service delivery with co-contracted providers
Understand the importance of information governance and confidentiality
Engage with CPD opportunities and behave as an ambassador for ECS, displaying the organisations values and professionalism in all engagements

- Excellent attention to detail and time management
- Experience of managing rosters and/or scheduling staff
- Excellent written and verbal communication skills
- Good IT skills to enable accurate records are maintained
- Able to communicate clearly and confidently in person and via telephone and radio systems
- Demonstrate ability to work on own initiative
- Ability to prioritise workload and act under pressure
- Potential and willingness for personal change with the ability and commitment to learn new skills
Desirable
- Emergency services control/dispatch experience or extensive operational dispatch experience for large scale events
- Telephone triage system (e.g. AMPDS or NHS Pathways) and computer aided dispatch system trained
