Job summary

ThePrimary Care Business Support Unit [BSU]works in partnership with PICS practices, and external parties, offering administrative support across a range of functions.Itidentifiesemerging projects, works towards standardisation of workingpracticesand reduces the clinical & administrative burden faced by practices.The BSU hasdemonstrateddelivery,adaptabilityand value.The team is expandingto support both immediate operational needs and longer-termstrategic growth.

  • The role is based at PICS HQ with ad hoc travel to practices/external sitesrequired
  • The postholderwillsupport the BSU by undertaking a range of activities carried out in a flexible& professionalmanner.
  • The role will bepart of a busy team, processingincomingemailsand hard copy information requestsaccurately and appropriately.
  • The postholder will berequiredto be aneffective and responsible team member, supporting others and exploring the mechanisms to develop new ways of working.
  • There will be daily interaction with, and requests for work from, colleagues, patients /carersand external services through face to face/telephone and email contact.
  • The role will be part of the BSU working under the management and guidance of the Business Support Manager, withappropriate medicaloversight by the Deputy Clinical Director.

Main duties of the job

KEY RESPONSIBILITIES

1.Effective and efficient administration support, working in a team responding to high demand, the need for change andassistingcontinued development of primary care services.

2.Creation and administration of all medical reportsfromvarious requestors such as government agencies,insurance companies, legalteamsand employers.

3.Work as part of the BSU Primary Care research team, to pursue an expansion of its research footprint.

KEY REQUIREMENTS

1.Good general education with Maths & English qualifications

2.Previous and demonstrable experience of working in patient/public facing role

3.Excellent administration skills, ability to work as part of a team and follow management instructions

They mustalwaysobservepatient confidentialityand work within their own personal competency.The successful candidate willbe requiredto:

  • Provide day to day effective and efficient administration support.
  • Demonstrateexcellentattention to detail and accuracyin their work.
  • Be able to work to deadlines and prioritise workload.
  • Maintaina high levelof confidentiality.
  • Demonstrate good team working skills.
  • Talk to patients/clients in a positive and friendly manner and deal with their queries.
  • Deal withBSUadministrative duties ina timelyand efficient manner.

  • Ensuringhigh levelsof confidentiality and information governance in your work.
  • Effective communication with clinical and administration teams, and external contacts.
  • Ability to make judgements on issues and when to refer onto more senior staff or Clinicians.
  • Flexibility in approach to work tasks, able to prioritise a busy workload.
  • Providing cover for colleaguesin the BSU.
  • Achieve set targets and Key Performance Indicators.
  • Complete relevant training, including for research activity,andparticipatein team meetings.
  • Occasional travel topracticesand face to facepatientcontact.
