Job summary
Symphony Healthcare Services (SHS) has an opportunity for a Rota Co-Ordinator to join the SSW PCN team. The role will be based at Crewkerne Health Centre, Somerset.
The hours are available 34 hours per week - working across Monday to Friday. Working pattern (days and hours) will be discussed at interview.
The rate of pay is £13.20 per hour with a NHS or NEST pension offered.
Main duties of the job
The post holder will be a part of the practice
administration team working collaboratively with the Practice Manager and
Operation Manager, co-ordinating the day-to-day function of the clinical rotas within
the practice. The rota coordinator is key to ensuring that all clinical shifts
are covered, organising external or internal locum cover as required for annual/study
leave or sickness within a timely manner.

Job responsibilities
The Locum and Clinical Rota coordinator will have responsibility for providing systems and processes to ensure that:
- The post holder will provide day to day support in providing high standards of cover by effective maximisation of clinical resources, working closely with the Management team to support to build and recruit to internal cover which will enable a reduction in agency spend.
- The post holder will hold responsibility for initiating the necessary action and escalation of any issues in order to maintain service requirements to the Operations Manager
- Working closely building positive and trusting working relationships with all key stakeholders
- The post holder will act as the main point of contact for clinical/operational personnel with any rota requirements
- The post holder will be able to identify gaps and plan/initiate acquisition of any clinicians required in a timely manner in order not to compromise service requirements
- Support Practice Management and the Operational Manager in creating new rotas, new working patterns for clinical teams and taking responsibly for the publication of these
- The post holder will be able to assist with the reporting of usage of agency staff
- The post holder will support with developing locum induction packs
- The post holder will actively seek new locum and agencies for future cover requirements
- The post holder will be responsible for checking all locum documentation and contact details are up to date including securing approval of locum credentials from Clinical Leads for GPs, NPs and PN.s.
- Issue and maintenance of Smartcards
- The post holder will be responsible for ensuring that professional registrations of Locum staff are up to date and log all relevant documentation.
- The post holder will assist with the day-to-day delivery of QOF, reviewing targets with the Operation Manager
- The Post holder will assist with Estates & Facilities compliance as and when required to assist the Practice Manager and Operation Manager
- The post holder will assist with the Private Work administration as and when required
- Undertake any other activities deemed appropriate and necessary by the organisation
