We are looking for a Rota Administrator to provide effective and efficient administrative support to the Capacity Planner and Rota Administrator in the monitoring and maintenance of National custody and SARC estate rotas, in our 24/7 contact centre, based in Braintree.
The role is predominantly providing support for people affected by sexual assault and rape, whilst working with professionals such as Police and Social Services to arrange forensic examinations at one of our Sexual Assault Referral Centre's.
We are looking for someone to join us 18 hours per week (days to be agreed).

Hourly Rate: £12.75 per hour
The successful candidate will provide effective and efficient administrative support to the Capacity Planner and Rota Administrator in the monitoring and maintenance of National custody and SARC estate rotas.
This role will assist in ensuring high-quality clinical service delivery across custody and SARC contracts by handling day-to-day administrative tasks, allowing the Capacity Planner and Rota Administrator to focus on strategic planning, capacity modelling, and stakeholder relationships.
The post holder should be organised, pro-active, a good and effective communicator.

Roles and Responsibilities:
Assist in developing and maintaining effective administration systems to support high-quality clinical service delivery and patient care.
Support the Pathway and Support Service operation by creating and maintaining daily planners that are accurate against the nationwide rotas on RotaMaster.
Maintain accurate data on systems (e.g., Rota Master) to ensure accuracy and efficiency, including updating employee availability, absences, and shift changes.
Support the building and adjustment of rotas to ensure that all custody and SARC contracts are fully and appropriately staffed, coordinating with clinical staff to maintain 24/7, 365 coverage under the guidance of the Capacity Planner and Rota Administrator.
Help ensure effective and safe service delivery by considering the varied skill sets of clinical staff and requirements of each clinical area, allocating staff according to skill mix guidelines as determined by the Head of Healthcare.
Aid in building and maintaining relationships with stakeholders across the business and with MHL customers by handling routine communications and queries.
Assist in optimizing schedules, both short and long term, by compiling data and preparing initial drafts for review.
Support the administration of capacity models from 1 week to 4 months, including data collation for longer-term planning (6 to 12 months in advance for peak periods).
Collaborate with clinical staff and MHL customers to address adhoc requests and ensure rota compliance, escalating complex issues as needed.
Work closely with clinical staff to resolve queries or discrepancies regarding working patterns, both reactive and proactive.
Collate and coordinate adjustments to rotas on the day to ensure the Rota Master system is accurate.
Assist in working to fixed deadlines to ensure members of staff are aware of their working timetables and are recompensed appropriately.
Help identify risks in staffing and take initial steps to resolve where possible, escalating to the Capacity Planner and Rota Administrator as appropriate.
Support the review of staffing volumes against the plan to improve and deliver efficiencies without impacting business relationships.
Provide administrative support for financial accountability, including reviewing submitted timesheets and validating rota shifts for sign-off.
Act as a support contact for Heads of Healthcare on routine rota issues, resolving where possible or escalating appropriately.
Assist in preparing for and documenting regular rota compliance meetings, actioning minor issues and escalating as required.
Support supplier management with Mountain's locum recruitment company by helping to proactively manage rotas 3 months in advance.
Ensure the correct locum documentation is in place, up to date, and stored in a central repository, following through to completion.
Coordinate bank staff requests and finalize their requested duty times and days.
Maintain up-to-date information regarding staff, including contact details, annual leave, and sickness records.
Assist in implementing new processes and procedures to adapt and improve the monitoring, recording, and communication of working hours in any contract as required.
Undertake any other reasonable support work requested by the Capacity Planner and Rota Administrator or senior staff, including deputising for the Capacity Planner and Rota Administrator whilst on annual leave.
