Main duties of the job

As a Senior Administration Assistant, you will play a crucial role in supporting the day-to-day operations of the hospital. Your responsibilities will include maintaining efficient office systems, managing incoming communications, producing accurate minutes, and providing flexible cover across the Administration Team. You will also assist with financial and purchasing processes, support training compliance, and work closely with the Social Worker to handle Department for Work and Pensions (DWP) claims efficiently.

Job responsibilities

Are you an organised, proactive and detailfocused administrator looking to make a meaningful difference in a healthcare setting? Join Aderyn as a Senior Administration Assistant  to support the smooth running of our daytoday operations and ensure we continue to deliver a highquality, reliable administrative service for service users, colleagues and external partners.

In this varied and rewarding role, you will help maintain efficient office systems and provide consistent administrative support across the hospital. You’ll act as an important point of contact, liaising with service users, the multidisciplinary team, external agencies and other stakeholders as needed. You’ll manage incoming communications, ensuring post and emails are actioned promptly, and you’ll take and produce accurate minutes to support meetings and clinical discussions. You will also provide flexible cover across the Administration Team, contributing to the overall effectiveness of the service.

Your responsibilities will include supporting financial and purchasing processes, such as raising purchase orders, liaising with suppliers, receipting invoices on the Unit 4 system and managing petty cash in line with policy. You’ll also work closely with the Social Worker to ensure Department for Work and Pensions (DWP) claims are handled efficiently, protecting service user entitlements and maintaining accurate records. This will include monitoring service user balances, processing transactions weekly, issuing sick notes when required and ensuring balances are forwarded promptly on discharge, returning any overpaid benefits in accordance with guidelines.

You will also play a key role in supporting training compliance across the service. This includes booking colleagues onto required courses, monitoring elearning completion and keeping internal training systems up to date with accurate records and evidence of attendance.

This role is a fixed term 12 months contract   

To be successful in this role, you will have:

  • 4 GCSEs, grade C or above, or equivalent (including English and Maths)
  • Word Processing Qualification (desirable)
  • Business Administration NVQ or equivalent (desirable)
