Job summary
Primary areas of responsibility for the Operations Support Officer is to support the delivery of Enhanced Hours operating across the Primary Care Networks within the Federation under the direct supervision of the Operations Manager and Clinical Services Manager.
Support the Operations Manager, Clinical Services Manager and Senior Leadership Team to deliver the Services to agreed quality standards ensuring that processes and systems are compliant with external requirements (CQC).

The post holder will provide support for Operations Manager and Clinical Services Manager to deliver and manage the extended access provision and vaccination service.

- To use a range of excellent communication skills to develop and maintain effective relationships with managers, GPs, clinical staff and all colleagues, facilitating useful and timely communication to support their function within the services.
- Providing administrative support (planning and setting agendas, minute taking and completion, coordinating papers, attendance at meetings) as required.
- Supporting data sourcing and collation relevant to the services and presenting these in management documents.
- Collation of data provided by the Operations Manager and Clinical Services Manager to evidence compliance with quality indicators and priorities, including reports for CQC and board as required.
- Support the proposition and implementation of changes to working practices to reflect the needs of the Service.
- Deliver a robust stock ordering process aligned with the operational usage of materials with the services for approval by the Operations and Clinical Services Managers
- The post holder will be required to support effective day to day operational management of the staff allocated directly to the extended access provision including.
- Support communication between the extended hours provision and its stakeholders by providing timely responses to queries received with support from service managers.
- To ensure patient confidentiality and the sharing of records is protected according to the relevant legislation e.g., Data Protection Legislation and Caldecott Guidance.
- Conduct own work is undertaken in a manner, which fully recognises the ICB responsibility to ensure that Data Protection procedures and all areas of Information Governance are managed to the highest professional level.
- Administer payments and invoicing as required for the Travel Service
- Produce data for the YHN Finance team to allow invoicing of practices for the provision of Travel Vaccinations
