As a Patient Services Coordinator, you will play a crucial role in ensuring the smooth operation of our patient services department. Your responsibilities will include scheduling patient appointments, managing referrals, and providing administrative support. You will be an integral part of our team, contributing to the delivery of high-quality healthcare services.
While previous customer-facing or administrative experience would be fantastic (Healthcare industry experience would be an added bonus) full training will be provided to ensure you feel confident and fully capable in your new role!
Main duties of the job
- To provide effective, efficient and timely administrative support as required by the role.
- To understand the scan inclusions and exclusions for each CCG area, appointing or rejecting patients as appropriate.
- To schedule patient appointments and inform patients by letter and/or telephone.
- To provider reports to referrers within agreed timescales.
- To participate in the telephone rota.
- To provide general office management and support.
- To project a positive and friendly image to patients.

Duties and Responsibilities:
As an active member of the patient services team, general duties will include:
- Triage of referrals
- Management of NHS inboxes.
- Enter patient information on to the computer as required.
- Ensure that all new patients are registered onto the computer system promptly and accurately.
- Booking and coordination of clinics including sending clinic lists to surgeries.
- Reporting.
- Daily audit of the next day clinic and reminder calls.
- Dealing with enquiries and telephone calls including preparation instructions.
- Communicating reports/images via different systems.
- Weekly review of the previous week to prepare for the month end.
Payments Dealing with urgent reports Clinical team liaison, including RAD reviews Prepare lists and notes for all clinics held, ensuring completion of all associated paperwork. Undertake any other additional duties appropriate to the post as requested by the Patient Services Manager.
Professional Experience Competencies:
- Ability to prioritise and organise a heavy workload.
- General knowledge of office procedures and policies.
- Ability to quickly file alphabetically and numerically.
- Can use Microsoft Office Outlook, Word and Excel confidently.
- Ability to use spreadsheet and email applications.
