Job summary

PHL Group are looking for a Receptionist to work in Ringwood Medical Practice. As a key member of the team at PHL Group, your role is very important as the first point of contact for our patients.

The post holder will be a kind and empathetic person and you will be expected to take control and be accountable for the given situation. Always ensuring you are treating every patient with respect and providing confidence in our ability to deliver a great and caring service.

Hours

This is a part time post, the hours are Monday and Friday 6:15pm - 9:45pm.

We are looking for suitable candidates who can commit to these hours on a weekly basis.

Main duties of the job

The main duties and responsibilities of this role include;

  • Answering the telephone promptly and deal with all enquiries, maintaining confidentiality at all times.
  • You will efficiently manage patient and customer interactions, keeping them informed and liaising with your duty team leader as appropriate to ensure a seamless and first-class service is delivered.
  • Ensure the reception are is kept tidy and clear and all areas are safe and secure.

The role of the successful applicant will be to:

  • Book patients in on arrival for Appointments+ appointments.
  • Where appropriate, book patients into fracture clinics internally and externally.
  • Monitor the electronic booking system and liaise with the duty team lead with any workload concerns.
  • Manage the expectations of the patients who are waiting.
  • Answer the phone promptly and deal with enquiries in a helpful and courteous manner, being aware of the need to maintain confidentiality at all times.
  • Perform receptionist duties as required by the duty team leader or your line manager, to ensure efficient systems are in place for the maintenance of all records in accordance with statutory and company procedures.
  • Ensure the reception area is kept tidy and all areas are clear, safe and secure.
  • Accurately logging in/out of prescriptions in a timely manner.
  • Maintain stationary stocks
  • Ensure mandatory training is kept up-to-date in line with PHL policies and procedures.

  • Relevant reception, customer service or administration experience. An empathetic and compassionate nature to care for people from different backgrounds. The ability to communicate effectively and demonstrate sensitivity when dealing with patients and the wider multi-disciplinary team. Good standard of literacy. Ability to work without close supervision. Ability to use Microsoft office and other IT systems and databases.

Desirable

  • Previous experience of working with Adastra and EMIS.
