Salary: £21,000 per year

WTE: 0.8 (30 hours per week)

Coventry & Rugby GP Alliance (CRGPA) The Coventry and Rugby GP Alliance was established in 2015 as a private company limited by shares. The Alliance is wholly owned by Coventry and Rugby GP practices and represents 66 GP Practice shareholders covering approximately 440,000 patients.

Main duties of the job

Job Summary

The purpose of this role is to:

Provide administrative support particularly focusing on the delivery of the safeguarding local enhanced services within the Alliance.

Teaching Practices Key Responsibilities

Prepare case conference reports and ensure timely sign off by the GP Lead

Prepare summaries of families to be reviewed by the Multi-Disciplinary Team (MDT) including information on mental health, addiction issues, domestic violence, alcohol use and missed hospital appointments

Take accurate minutes and ensure professionals are aware of their allocated actions

Circulate minutes of meeting to those attending and Head of Assurance

Job responsibilities

CRGPA JOB DESCRIPTION

Read reports from case conferences and ensure actions are completed by the relevant professional

Compile and send out agendas to the MDT at least three days prior to the meeting

Work as part of the MDT alongside GP, Midwife, Health Visitor and School Nurse

Develop effective working relationships with midwives, health visitors, school nursing team, social care professionals

Work independently with support from the Practice Management Team and Lead GP

Liaise with other professionals to discuss cases including social care, midwifery and health visitors

Undertake a variety of administrative duties to assist in the smooth running of the service, including the provision of secretarial and clerical support to clinical staff and other members of the team Facilitate effective communication between patients, members of the primary health care team, primary care networks, secondary care and other associated healthcare agencies

Opening up/locking up of Alliance premises and maintaining security in accordance with organisational protocols

Processing telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional

Processing and distributing incoming (and outgoing) mail

Taking messages and passing on information

Filing and retrieving paperwork

Computer data entry/data allocation and collation; processing and recording information in accordance with the organisations procedures

Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers

Providing clerical assistance including word/data processing, minute taking, filing, photocopying and scanning

Monitoring and informing the Service Lead of requirement for stationery and other supplies

Keeping the working area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter

Identifying risks involved in work activities and undertaking such activities in a way that manages those risks

Making effective use of training to update knowledge and skills

Acting in a way that recognises the importance of peoples rights, interpreting them in a way that is consistent with the organisations procedures and policies, and current legislation

Respecting the privacy, dignity, needs and beliefs of patients, carers and colleagues
