Admin Support Officer – Smokefree Blackburn with Darwen
Smokefree Blackburn with Darwen team are looking to recruit a competent and proactive person to support an existing team of Stop Smoking Advisors. The advisors are key team players working closely with the admin staff, to improve the quality of life and wellbeing of the local population with a specific focus on smoking.
Main duties of the job
The Role
We wish to recruit an admin support officer, to join our established and dedicated team. The candidate we seek would be confident and approachable, experienced in handling data, managing referrals as well as social media channels and telephone inquiries from health professionals, stakeholders, and wider service users. we would be willing to train an individual without experience if they meet essential criteria and are enthusiastic about the work.
The post is advertised as a part-time post with 20 hours per week, providing support from Monday to Friday. The main duties include, handling incoming calls, dealing with inbound referrals, supporting stop smoking advisors to deliver face-to-face and virtual sessions. The post holder will also be responsible for the admin task associated with the project and preparing weekly and monthly data reports to support key performance indicators and targets.
Our office is located at Ewood Park Business Centre, BB2 4Jf, Blackburn with Darwen and chosen team member will be expected to work from the office Monday to Friday.

Smokefree Blackburn with Darwen is a commissioned community stop smoking service of Blackburn with Darwen Borough Council.

You will be the first point of contact for service users, stakeholders and partners. A friendly and organised point of contact, coordinating appointments, managing data, and providing vital support to our dedicated Stop Smoking Advisors. The administrator role will require high levels of organisation, excellent communication skills, IT literacy, local knowledge and a positive approach to customer service. The successful candidate must have enthusiasm for helping others, good understanding of public health interventions and competent IT and Administration skills.
All our team members undergo a rigorous training programme to ensure they are working to the highest standard and demonstrating evidence-based practice. Full training will be provided to ensure the post-holder is competent to support across a range of areas.

Main Duties and Responsibilities
- Monitor the secure email into to address and action referrals and general enquiries and processing referrals timely and effectively within timescale
- Contact referrals to triage appropriately to book them into relevant clinics with an advisor.
- Respond to phone calls, voicemails and call backs as appropriate
- Attention to detail when inputting and maintaining the database systems
- Request and process invoices for timely payments
- Provide daily administrative support to the Service Coordinator and Stop Smoking advisors
- Offer support, information and advice to service users and health professionals where necessary
- Identify clinical queries from callers, reviewing urgency and appropriately seeking guidance to respond to them
- Ensure complaints are sensitively handled and raised appropriately to be actioned
- Collate and store service user feedback, case studies and comments
- Work with the team to capture, create and schedule content for the social media platforms
- Assist with organising internal and or external conferences and training days, including registration and resource preparation.
- Order service leaflets, handbooks, and other promotional materials as needed
- Provide practical support to the production of dashboards, reports and data in advance of reviews and reporting to national, regional and local commissioning and stakeholders
- Manage and monitor device calibration, PAT testing and other maintenance as necessary
- Support to develop, monitor and maintain quality standards and initiate good office practices including appropriate data protection of client information
- Develop and maintain manual and computerised filing systems; ensuring clinic rotas are kept up to date
- Explain the principles of Stop Smoking to callers and potential service users so that they can make an informed choice regarding their engagement
- Motivate and empower clients to make behaviour changes during initial consultation
- Ensure a commitment to own personal development by attending all team meetings and training as required and keeping up to date with best practice
