Job summary
The job purpose is to work collaboratively with all members of the Executive and Department Leads. The post holder will work with minimal supervision and be expected to work flexibly as part of a team, supporting a wide range of tasks such as administrative duties, support with data analysis, report writing and gathering information. You will also be required to liaise with internal and external stakeholders and partners. Your role will include liaising with the managers and employees, smooth communication and prompt resolution of various requests and queries.
Main duties of the job
To provide a comprehensive administrative support to staff within the Executive and Department Leads.
To be responsible for answering telephone/email enquiries and other communications that may require a high degree of tact, diplomacy, sensitivity, and confidentiality.
To action routine correspondences, prepare acknowledgements and responses to letters as requested.
Assist with the dissemination and/or collation of information/returns for business management in a timely manner.
Help improve the quality of services and contribute to the improvement of the administration service.
Responsible for organising and controlling own workload ensuring deadlines are observed and duties performed efficiently.
Provide cover as directed by Line Manager for other members of the team in their absence and assist with their workload as necessary.
Assist in the effective use and maintenance of the office environment and systems, and supporting the introduction of, and working with, systems to manage these effectively.
To establish relations with internal and external partners to ensure effective and appropriate information is shared.

- Educated to NVQ 3, or equivalent relevant experience
- GCSE or equivalent in Maths and English language
- Proven administrative/ secretarial experience including initiating and maintaining office systems.
- Experience of diary management, arranging meetings/ events, handling telephone enquiries, receiving visitors
- Experience of managing own workload
- Experience of working within a team setting
- Experience of planning and organising administrative tasks
- Experience of dealing with confidential and sensitive data and appropriate maintenance and storage of records
- Clear communicator with excellent writing, data entry and presentation skills: capable of constructing and delivering clear information/ instructions to a wide range of people.
- Excellent attention to detail with ability to input data accurately and good attention to detail in all aspects of work.
- Ability to work under pressure in a busy working environment and able to multi-task.
- Escalating problems or issues at an early stage to ensure they remain in control
