The Sexual Health Receptionist involves comprehensive day to day administrative, clerical and reception support within the Integrated Sexual Health Services Team.
The Sexual Health Receptionist working in the Integrated Sexual Health team will act in a way which demonstrates our core values, mission statement and vision by putting them into practice with service users, other staff members and multi-agency partners.
JOB SUMMARY
The Sexual Health Receptionist is a member of the administrative team who works under the supervision of the Head of Service.
As a Sexual Health Receptionist you can undertake a range of roles, first and foremost as the first point of patient contact both face to face and on the telephone. You will meet and greet our patients, check them in using our IT system, create and update patient records and signpost where appropriate to our partner services. You will be involved in a wide range of tasks around the clinic. As well as supporting our Outreach nursing team at various Spokes around the City.

To work within our sexual health services, you need to have an open-minded and non-judgemental attitude as well as a good sense of humour.
You should be able to cope with a demanding and busy role which has periods of business and times when things are more settled. You will have initiative to work on your own and be self-motivated and resilient. Having an interest in supporting people to access care is essential and you should have a positive attitude to making sure that patients have the best care experience when they access our services.
Due to the nature of our services, you will express empathy and show patients that you are respectful of their individual lifestyles and life choices. Understanding the importance of confidentiality is key and appreciating that people access our services for a variety of reasons.
We use IT systems to book and register our patients, we communicate using emails and social media so IT skills and experience using computer systems is essential.
The post is based in our sexual health clinic in the centre of Hereford, but you may on occasions be asked to provide reception duties at our outreach services across the county.
The clinic opens Monday & Thursday from 8:30 in the morning to 7pm, Tuesday & Fridays from 8:30 to 5pm. You will work alongside our four other reception team to cover the working week, ensuring phone lines and reception are covered when the service is open.
MAIN DUTIES AND RESPONSIBILITIES
Signposting patients via the telephone and face-to-face to the most appropriate local services. Referring patients to the nurse triage service and distributing condoms and information to patients.
Reviewing patient results and referring any positive or abnormal results to the relevant clinician for action.
Daily administration tasks and checks
Booking patients in at reception, supporting them to complete paperwork and entering personal information onto the IT systems.
Printing labels / forms for clinical staff.
Dealing with post and parcels.
Ensuring that the waiting room and non-clinical spaces are kept tidy and safe from hazards.
Answering the patient phone lines and looking at availability for booking appointments for our Doncaster and Hereford clinics.
Working in a team to work through follow up appointments to be booked and
referrals from other professionals for our Doncaster and Hereford clinics.
Providing administrative support including sending texts to patients, completing appointment cards and following up phone calls with patients who have missed appointments.
Confidence in discussing sexual health concerns or information with patients in an approachable, non-judgemental, sex positive manner.
Ensure the environment is clean, comfortable, safe, and welcoming to patients, relatives, and all health care professionals.
Clean and maintain equipment and make ready for use. To have an awareness of monitoring and maintaining stock levels of designated items. Keep all storage areas clean, tidy and in good order e.g., fridge temp checks. Report any faulty or broken equipment to the Clinic Lead and label appropriately. Deliver specimens, test requests, notes or any charts as requested.
Undertake Departmental induction and orientation.
Complete associated competency booklet – completion time 2 months. Follow up action plan to complete this if required, by initial appraisal at 3 months.
Work with manager 3 months after taking up post, to undertake an appraisal and Personal Development Plan to set objectives and agree future competency achievement and development.
Attend relevant training in line with S4H policy.
Actively participate in team meetings and team brief cascade of information.
Assist or participate in departmental and S4H initiatives or audits, related to Quality Improvement / Clinical Governance
To participate in the orientation and educational programmes for new staff.
