Job summary

The ideal candidate will provide a welcoming first point of contact for patients, both in person and via telephone, while ensuring efficient administrative support to clinical staff and healthcare professionals. This role is ideal for someone who combines excellent administrative capabilities with strong interpersonal skills and healthcare experience. Additionally, they will offer professional assistance to the practice team while managing NHS screenings and immunisation programme communications.

Main duties of the job

  • Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
  • Undertake a variety of administrative duties to assist in the smooth running of the Practice including the provision of secretarial and clerical support to clinical staff and other members of the Practice team
  • Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies
  • Facilitate integrated working across the extended primary care teams, GPs and other stakeholders.
  • Work closely with practice and federation colleagues to ensure high quality support to patients.
  • Engage in health promotion strategies and reduce health inequalities in the local Islington population.
  • Make targeted telephone calls to patients and parents to deliver health education around preventative healthcare, directing the patient to appropriate resources when required.
  • Support patients to complete their on-line consultation requests in writing.

Our current range of services include the Extended Access Service, I:HUB, Community Ear, Nose and Throat (ENT), Integrated Community Gynaecology, practice-based pharmacists and a range of practice support mechanisms. IGPF works very closely with a range of partners including the regional commissioning group, NHS England, Healthy London Partnership, Public Health, local hospitals such as UCLH, the Whittington Health and the London Borough of Islington.

IGPF is the host organisation for the Primary Care Network (PCN) workforce and the Islington Training Hub, and has been working for over three years to create training and development programmes that meet the needs of staff working in primary and community care settings.

IGPF runs four Islington GP practices including City Road Medical Centre.

Job Summary:

The purpose of the role is to:

Duties and Responsibilities:

The duties and responsibilities to be undertaken by members of the Practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Reception Manager/Practice Manager, dependent on current and evolving Practice workload and staffing levels:

  • Maintaining and monitoring the Practice appointments system
  • Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
  • Processing and distributing incoming (and outgoing) mail
  • Taking messages and passing on information
  • Filing and retrieving paperwork
  • Processing repeat prescriptions in accordance with Practice guidelines
  • Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures
  • Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers
  • Providing clerical assistance to Practice as required from time to time, including word/data processing, filing, photocopying and scanning
  • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
  • Provide ad-hoc support to clinicians when requested.
  • Understand issues around Information Governance regarding data access rights and to be comfortable navigating this with patients
  • Helping the Reception Manager to reorganise the reception/admin and patient area and maintain the order with the help of the team.
