To contact (by telephone and email) clinical and operational staff to ensure rotas are populated against designed templates.
To ensure required reports within the rota and compliancy team are completed accurately and on schedule as required.
To accurately record all details and changes on the rota management software to ensure downloads of information are correct.
To liaise with clinical and operational teams fully to ensure required rota plan is achieved on a regular basis.
To record full and accurate details when taking messages on the telephone and pass onto the relevant members of staff.
To ensure all staff added to the rota are compliant against our recruitment checks to complete associated work.
To support with general office duties as and when required.
To attend training and meetings as and when require
To support with any other duties that may be required
Main duties of the job
To work closely with the operational and clinical teams to assist in filling the clinical rotas for the Urgent Care Services. To support with designed rotas, and to assist with the collation and production of staff compliancy reports

Rota Administrator
We are looking for a Rota Administrator to join our Rota Team, whose primary function is to support the efficient running of our urgent care services by ensuring the rota is filled to the designed template.
What is the role?
- Youll work closely with the clinical leads, and operational managers to ensure the service is able to run effectively with a full rota.
- Youll be contacting clinical and operational staff by phone and email to ensure the rota template is populated.
- You will be supporting with reports and ensuring staff compliancy when adding employees into the rota.
Youll join our Urgent Care Service, which is made up of Out of Hours, GP+ and ED Streaming these are all delivered by Suffolk GP Federation. We are a not-for-profit, community interest company and our main purpose is to support Primary Care across Suffolk, including support with working collaboratively and at scale. We also deliver a portfolio of NHS services across Suffolk and North East Essex, including Podiatry, Ultrasound and Diabetes.

We will work alongside the successful candidate to ensure they are sufficiently inducted and trained; there will be regular constructive supervision in place. It is important to us that you feel safe and supported in the role.
- You will have worked in an administrative capacity before, providing comprehensive support with the ability to prioritise workload accordingly.
- If youve worked within healthcare before, this will be an advantage to your application however, is not essential.
- Youll need to have good IT skills, and be able to pick up new systems efficiently with our supportive training.
Contract type:
This role will be based at our Urgent Care Head Office, Riverside Clinic in Ipswich. The position will be part time, and will work on a two week rota which will include the below shifts:
Week 1
Wednesday 08:00-14:00
Thursday 12:00-18:00
Friday 12:00-18:00
Week 2
Wednesday 08:00-14:00
Friday 12:00-18:00
Saturday 08:00-14:00
