Job summary

Is it for me?

  • You will have recent proven experience of leading and managing a small operation team.
  • You will have worked with RotaMaster previously, and will have ideally had exposure to SystmOne however training on this system can be provided.
  • If youd had previous experience of working in healthcare as a team leader or manager, this would be an advantage to your application.

Contract type:

This is a full time, permanent role working 37.5 hours a week across Monday Sunday.

Main duties of the job

Operations Manager (Rota)

We are looking for a Operations Manager to lead and manage our Rota team within our urgent care service.

What is the role?

  • Youll work closely and collaboratively with the head of urgent care, the service managers, and the operations managers.
  • Youll provide positive leadership to the current rota team, along with direct support, supervision and regular 121s.
  • Youll oversee and lead in the rostering of clinical and operational staff in accordance with designed rotas.

Youll join our Urgent Care service which includes Out of Hours, ED Streaming and GP+ which is delivered by Suffolk GP Federation, a not-for-profit, community interest company.

Place of work: Riverside Clinic, Ipswich

Job Purpose

To work closely and collaboratively with the head of urgent care, service mangers and operations managers. To directly line manage the rota administration team, overseeing and leading in the rostering of clinical and operational staff in accordance with designed rotas and to support with the assurance, collation, and production of staff compliancy reports. To line manage to deputy operations manager and rota support coordinator.

Main Duties & Responsibilities

To provide positive leadership of the rota administrators and support staff:

o Direct support

o Supervision, appraisals, and regular 121 and team meetings

o Identify key shift fill and rota concerns and lead the team to achieve a safe and effective rota fill.

o Contribute to the training and development of the team, ensuring compliance of all mandatory training

o Assist with recruitment and induction

o Monitor and manage sickness absence, annual leave and study leave

Effective communication with Operational teams in line with urgent care service requirements

Accountable for overseeing the duties performed by the Rota admin support coordinator including:

o HR liaison

o Staff Compliancy

o Regular stake holder reports

o Payroll reports

o Rota system management 

Accountable for accurately recording all details and changes on the rota management software (RotaMaster)

Overseeing the allocation of urgent care shifts

Responsibility for the structure of Shift Pattern Manager in accordance with HR

To be accountable for the preparation of the Urgent Care shift in accordance with priority shift fill, amendments on SystmOne and Clinic & Break management

Responsible for Ensuring all staff added to the rota are compliant against our recruitment checks to complete associated work

Responsibility for contacting staff at the recognised check-points to ensure the rota management software reflects our active workforce, archiving and suspending accounts where necessary.

Monitor key performance metrics and contribute to remedial action plans when targets are not being met.

General office duties as and when required.

Attending training and meetings as and when required.

Contact clinical and operational staff to ensure rotas are populated against designed templates.
