Job summary

Join a dedicated team committed to making a real difference in the community. We are seeking a highly motivated and enthusiastic individual with a passion for promoting good mental health.

You will be providing and coordinating administrative and secretarial services; including for example, the preparation of agendas and minutes, taking appropriate follow-up actions as required. Supporting the team with the managements of projects, gathering information and undertaking enquires as and when is necessary for the Living Well Engagement team and the department.

This post is open to applications for a fixed term or secondment opportunity ending March 2025. If you are making a secondment application, please seek approval from your current employer before hand.

Main duties of the job

Main Duties of the role:

Providing administration support by:

    • Taking telephone calls for the Living Well Engagement Team and expected to use their initiative to deal with phone calls and messages
    • Sorting and prioritising all incoming mail and email, distributing as appropriate
    • Set and send out meeting invites for all meetings with system stakeholders
    • Preparation of agendas and minutes of all meetings and distributing notes, including typing up a group discussion
    • Ensuring taking appropriate follow-up action as required
    • Undertaking administrative duties such as photocopying, faxing and mail out distribution
    • Ensuring all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner
    • Inputting, monitoring and checking data
    • Supplying relevant information required for financial management, checking and sending invoices for payment
    • Developing and maintaining effective electronic filling systems, to ensure that information is kept securely and is accessible to other members of the team
    • Processing payments of expenses
    • Willing to work flexible hours and travel across the county
    • Maintaining positive and supportive relationships with Experts by Experience, wider team and all stakeholders
    • Contribute to development of the Living Well Engagement Service

  • Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience;
  • Significant administrative/ secretarial experience including initiating and maintaining office systems
  • Minute Taking.
  • Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, Powerpoint and Access;

Desirable

  • Previous Project Management Experience

  • Ability to work under pressure in a busy working environment and able to multi-task;
  • Ability to work without supervision and ability to work on own initiative, organising and prioritising own and others workloads to changing and often tight deadlines.
