Job summary

Reporting to the Strategic Lead (Programmes), the post holder will be required to provide administrative support to a small team, service meetings including scheduling, preparation of agendas, minute/note taking and recording of actions.

The successful candidate is required to work on their own initiative and manage their own workload with minimal supervision, which will require excellent planning and organisational skills.

The requirements of the role will include supporting programme and project managers with the delivery of a wide variety of projects and there will be a requirement to collect, collate and analyse data as well as diary management, following up on actions arising from meetings, handling of incoming messages and queries, prioritising workload as well as a number of other tasks. In the absence of other administrative staff, the candidate will also be expected to provide cover to the programme teams as and when needed.

Main duties of the job

The Candidates main duties will include but not limited to:

Provision of administrative and programme management support to the collaborative Director and wider team

Proactive management of all correspondence, action trackers/risk registers and other meeting and programme documentation.

Full and Part-Time hours will be considered.

Provide administrative and programme management support including system meetings, proactive planning, and compilation of agendas / programmes / complex activities, gathering, collating and circulation of information, production of reports, bulletins, newsletters, production and circulation of proficient minutes and progressing actions.

Ensure that all written documents, including correspondence, reports and minutes are produced accurately, on time and in accordance with Humber and North Yorkshire Community Health & Care Collaborative standards.

Prepare, collate and distribute reports and correspondence. Produce documents and reports on behalf of team members and alert the appropriate team members when there are issues with meeting the required timescales.

Ensure that there are mechanisms in place to escalate any slippage/deviation from plans to the management team.

Develop and maintain templates, risk logs and other project management reporting tools ensuring that when changes to these are made they are circulated to the relevant leads.

Able to produce written reports, process flow charts/pathways and presentations using a range of Microsoft Office tools.

Exercise initiative in responding to requests for information/action including referral to appropriate senior staff, particularly in confidential and/or sensitive situations.

Continually monitor, review and where appropriate suggest/implement changes to improve the working practices and systems.
