This
is an exciting opportunity to join a friendly Team at the core of the NHS
West Yorkshire Integrated Care Board (WY ICB).
You
will be working in a fast-paced environment, providing an efficient,
professional, high quality and comprehensive administrative service to Board
members, meeting the individual needs of each function
Working
to the Business Manager, you will work autonomously as part of a Team
providing a wide range of administrative responsibilities including diary /
email management and support to complex meetings, ensuring that necessary and
effective systems are in place across the team to provide a responsive and
confidential administrative service to Board members.
With
a keen eye for detail and the ability to act proactively and adapt in a
dynamic environment, you will also work collaboratively with colleagues,
partners and stakeholders across West Yorkshire, aiming to make a positive
contribution and ensure delivery of the organisational mission and values.

Main duties of the job
To
provide a comprehensive administrative/ PA service to members of the WY ICB
Board including the production and coordinating of correspondence, agendas,
both formal and informal minutes of meetings, reports and presentational
material, to a high standard and in accordance with agreed corporate
standards.
Manage
effective, efficient and proactive systems so as to assist with workload of
Board members. ensuring that appropriate communications are actioned and
supporting documents are easily accessible .
Undertake
diary management for Board members - This will include arranging and
coordination of meetings (both internally and externally), using own
initiative through agreement of priorities to resolve conflicting
appointments and schedules often at short notice to meet changing demands/
requirements. Booking rooms, appropriate accommodation, travel arrangements,
equipment and catering as required
Act
as a first point of contact for communications received by Board members,
initiating and coordinating communications and responses on their behalf,
exercising judgement as to the appropriate response and providing any
relevant supporting information as appropriate.
To
provide a high quality, comprehensive and confidential administrative support
service to Board members including the Chief Executive, Chair, Executive
Directors and Non-Executive Members.

West Yorkshire Integrated Care Board (WY ICB) including the Chief Executive,

The
postholder will be required to demonstrate exceptional organisational and
administrative skills and have the ability to work independently with
considerable autonomy, using discretion, judgement and critical analysis to
manage a range of facts and situations, often of a complex nature. The role
requires the ability to act proactively and react within a dynamic
environment, with significant resilience.
They
will undertake the full range of administrative duties including diary and
email management; support to senior Partnership meetings (including agenda
setting, coordination of papers and minute taking); organisation of events;
hospitality bookings; management of information; dispersal of wide-ranging
communications; and any other administrative duties/ responsibilities in
support of the WY ICB as necessary.
The
postholder will be required to demonstrate highly competent leadership and
organisational skills, with the ability to streamline and implement
administrative processes to improve effectiveness in such a way as to make a
direct and positive contribution to the running of the NHS WY ICB.
They
will balance priorities through effective delegation and line management of
administration staff as designated. It is essential that the postholder
undertakes these duties with a high degree of confidentiality and integrity,
showing flexibility, initiative and enthusiasm.
