Business Support Officer- Business Support Officer (Urgent Care)

Working across the Integrated Care offices, the Urgent Care Team provides administrative and secretarial support for colleagues across the ICB, as well as supporting a number of corporate functions. The Business Support Assistant (Urgent Care) will be a member of this central team, but work with a main focus on supporting a number of internal Urgent Care functions and activities.

The post holder will be expected to work efficiently and flexibly to provide comprehensive, high quality support for a wide range of regular administrative tasks and processes, including workforce and recruitment. The postholder will be required to work in a busy and demanding environment and will need to exercise initiative and function autonomously, with guidance from the PMO Manager and wider Urgent Care Team where necessary. As first point of contact, the postholder will oversee a generic email account, and provide accurate support to staff and managers in relation to corporate processes.

The postholder should be able to work on their own initiative, with limited supervision on a day to day basis, and have a flexible approach to their work in order to deal with conflicting demands and tight deadlines. Good interpersonal skills are important for dealing with colleagues and external visitors, as is the ability to work effectively as part of a team.

Main duties of the job

  • To provide effective admin support to the team and ensuring all work is to the highest standards and in accordance with ICB Policy. Review and process data in a qualitative manner, as and when required.

  • To participate in projects as delegated. Primarily working within the Urgent Care and portfolio of work, supporting the ICC and SVOC programmes. Provide support as required to the Urgent Care portfolio of work, for the A&E Delivery Board and A&E Operational group meetings.

  • Provide over-arching support to the wider team and coordinate team meetings and agendas.

  • Deal with incoming queries for the service both written and verbally, redirecting or escalating when appropriate.

  • Coordinated diary management to prioritise appointments, making sure all appointments are organised logistically in order to cut down on travelling time.

  • Organising meetings/conferences, including booking venues, arranging refreshments, speakers, preparing and circulating papers to attendees.

  • Organising effective agendas and required documents, taking and transcribing professional minutes, producing an action log and updating as required, monitoring attendance.

  • Responsible for typing a variety of documents and correspondence, requiring excellent professional written skills and a good understanding of local processes.

  • Ensure confidentiality and appropriate filing of all documentation in the correct order in accordance with ICB policies and procedures. Ensure that all documents are made available for appropriate people within the service, keeping all necessary electronic systems up to date and ensuring information is accurate.

  • Support the induction of new starters into the Transformation and Delivery team.

  • To respond flexibly, prioritising a diverse workload, in order to meet the changing demands of the service ensuring appropriate cover for planned absence with you and your assigned counterpart.

  • To co-ordinate workflow and manage local systems within the team to ensure work is prioritised and delivered within agreed deadlines and targets.

  • Part of this role will be to develop standard approaches and best practice for tasks and identify continuous processes for improvement within your area of responsibility, to ensure all work is to the highest standard and in accordance with ICB and service policy and procedure.
