Job summary

We have an exciting opportunity for a confident, organised, and proactive individual to join our team in a Business Support role.

As part of this position, you will provide high quality, efficient, and professional administrative support to the Hertfordshire Divisional Corporate Team and Directors. You will play an important part in ensuring the smooth day to day functioning of the service and the Corporate Hub.

This varied role will include:o Coordinating diaries and organising workloads for the management teamo Managing meeting invites, schedules, and appointmentso Supporting with data reporting and maintaining spreadsheetso Handling correspondence, emails, and room booking requestso Providing Front of House reception support when requiredIf you're looking for a role where you can use your administrative, organisational, and customer service skills across a range of tasks, this could be an excellent opportunity for you. Main duties of the job

Some of the duties within this varied role include:o Providing administrative support for a range of Senior Leadership Team and Director led meetings.o Developing a strong understanding of the management team's work to make informed decisions in the absence of Business & Project Support or management, and to help identify priorities.o Coordinating diaries and managing meetings for managers, understanding key priorities so that appointments can be adjusted when needed to meet deadlines without impacting service delivery.o Maintaining an effective bring forward system to ensure deadlines are met, risks are monitored, and managers are fully briefed ahead of appointments and commitments.o Scheduling formal meetings and training sessions, including video and tele conferences, organising room bookings, catering, and IT equipment.o Planning and coordinating events, such as meetings, conferences, and away days, ensuring all logistics--from room bookings to technology support--are in place.

  • Education to diploma level or equivalent level combination of NVQ - 3 education or short courses and experience
  • RSA II or equivalent
  • ECOL Microsoft or equivalent

Desirable

  • Business Support/ IT experience

  • Previous PA and or secretarial experience including minute taking
  • Experience in running an office including managing, maintaining and developing databases and filing systems including bring forward, maintaining stationery /stock levels
  • Experience of dealing with enquiries from the public and partner organisations
  • Experience of prioritising workload to meet conflicting demands
  • Experience of organising meetings and events including speakers

Desirable

  • Experience of managing multiple diaries
