Job summary

The Assistant Operations Manager is responsible for maintaining a comprehensive day to day procurement administrative leadership and support function to the Manage and Enable Directorate (M&E) to enable the overall NWLPS to deliver excellent customer service, best value for money and compliance with NWL PS governance.

Main duties of the job

Responsible for the provision of management and business support to the Manage and Enable Directorate function (including but not limited to: tracking contracts, uploading documents to DocuSign)

With the Operations Manager coordinate and implement cross cover support to office/administration functions within the Directorate and provide and ensure the provision of appropriate support and advice to administration staff, senior managers throughout the NWLPS.

Manage defined business, administrative and strategic projects within the division with the support of teams within the division as directed by the Procurement Excellence Director

Effective and efficiently manage diaries calendars for high level meetings; CFO/MDs, Shared Services Board.

Assist with the Freedom of Information requests on behalf of the NWLPS, prepare responses for approval and ensure that timescales are not breached.

Manage documentation tracker for the division, assist with implementing and change control process. Lead on version controlling and branding documents where required.

Manage related finances, raise Purchase orders and routinely prepare business reports to ensure the division is diligent in the execution of its responsibilities and can demonstrate value for money through its deliverables.

  • Educated to degree level or equivalent level combination of diploma level education, short courses / training / experience

Desirable

  • Prince 2 Qualification or equivalent
  • CIPS Level 4 minimum
  • Certificate in management or equivalent
