SPA Senior Administrator

Job summary

Central London Community Healthcare (CLCH) are now seeking a SPA Senior Administrator to join them at The Medical Centre, Woodfield Road, W9 3XZ

The SPA is responsible for processing and registering new referrals, booking clinics, updating waiting lists and communicating appointment related information to patients, carers and health professionals. They aim to make effective use of resources, reduce duplication and ensure that referrals are effectively and safely managed through the system. They ensure that appropriate referrals are accepted and any urgent needs are highlighted to the appropriate clinical services.Inner SPA's current shift times are between 8:00 -17:00 but this is subject to continuous reassessment and may be extended, should service demands change.

Main duties of the job

  • To demonstrate excellent customer care and communication skills in the provision of a front line service for the team, assisting clients, carers, GPs and other health and social care professionals.
  • To maintain a detailed and accurate message recording system, taking appropriate action where necessary, and contacting members of the team as appropriate if messages require urgent / early attention.
  • Take initial responsibility for the initial local resolution of problems and complaints that may arise with staff/clients. Exercise negotiating skills and tact to achieve agreement and co-operation.
  • To be fully aware of confidentiality guidelines and exercise judgment and care when exchanging confidential and sensitive patient information.

  • Educated to diploma level or equivalent level combination of NVQ 3 education, short courses and experience

Experience

  • Previous administration/secretarial experience
  • Experience of working with the general public in a customer or client-facing role
  • Experience in running an office including managing, maintaining and developing databases and filing systems including maintaining stationery/stock levels and diary management
  • Experience of inputting to databases, spreadsheets and/or other IT Systems and business applications used in the office environment
  • Experience of using patient administration systems
  • Experience of dealing with enquiries from the public and partner organisations
  • Experience of prioritising workload to meet conflicting demands
  • Experience of supervising staff
  • Experience of organising meetings and events including speakers

  • Experience of working in the NHS/Public sector
