We are delighted to offer applicants an opportunity to join our friendly, forward thinking SEND Therapy team within Birmingham.

Do you have a passion for supporting SEND services. To provide comprehensive secretarial and diary management administration support within SEND Therapy; Occupational Therapists (OTs).

To provide an efficient business focused administration and support service, within the SEND team; working collaboratively with managers and other support staff to ensure the smooth running of all office based systems and to resolve or refer issues as necessary. To support with the delivery of projects and deadlines within the Team as directed by the management team.

Main duties of the job

To provide comprehensive quality administrative and clerical support to the SEND Therapy management team and staff. To ensure that systems complement and adhere to the divisional standards and always projecting a professional, courteous image of SEND Therapy aligned to the Trust Values.

You will develop and maintain efficient office systems, ensuring that resources are available in a timely manner and efficiently organised to enable maximum clinical contact time for the SEND team.

  1. To be able to use own initiative to prioritise tasks and events, and plan accordingly to ensure deadlines and targets are met.
  2. To attend SEND Therapy Team meetings, and actively participate, take minutes and actions.
  3. Liaising daily with internal and external professionals through telephone calls, emails and virtual platforms ensuring clear and accurate correspondence between health, education, other professionals and staff. Using own judgement and initiative to resolve any queries/issues.
  4. To produce accurate information on statistics and data gathering, under direction, to create and produce termly spreadsheets, tables, graphs, reports for required information.
  5. To be responsible for creating events and posters and scheduling events through an external platform, monitoring uptake of events and reporting on these to the Team Leader. Liaising with other professionals around promotion of the SEND Therapy offer.
  6. To have an understanding of localities, districts and criteria for the SEND Therapy offer across the city.

Essential

  • 5 GCSEs or equivalent including Mathematics and English
  • Evidence of continual professional development
  • NVQ Level 4 in Administration or equivalent experience

Experience

  • Significant experience of working within an office environment
  • Previous customer care experience
  • Experience using Microsoft applications including Excel, Outlook, Word

Desirable

  • Experience of supervising junior members of staff

  • Excellent interpersonal and communication skills with the ability to communicate with a range of people
  • Excellent written and communication skills with the ability to demonstrate fluency, clarity and effectiveness
