Job summary
We are seeking a compassionate, organised and adaptable individual to provide a comprehensive, confidential and high-quality secretarial and administrative service to the 0-19 Service. The post holder will be responsible for supporting the smooth and effective running of administrative systems and office processes, ensuring the service operates efficiently and effectively.
The role involves managing databases and spreadsheets, maintaining accurate records, coordinating meetings and producing minutes, and supporting the PHN 0-19 Team with a wide range of administrative and workforce-related tasks. The post holder will play an active role within the team, using initiative and sound judgement to prioritise a busy workload and respond flexibly to changing demands.
In addition, the role supports recruitment and retention processes, maintains staff information, and coordinates information for senior management meetings. A high level of IT competency, strong organisational skills and the ability to handle sensitive information with discretion are essential to this role.

Main duties of the job
- Good administrative and secretarial skills, with the ability to provide a high-quality and confidential service
- Strong organisational skills and the ability to manage and prioritise a busy workload
- Good IT skills, particularly in Microsoft Word, Excel and PowerPoint
- Ability to accurately input, maintain and manage data, databases and spreadsheets. Experience of organising meetings and taking clear and accurate minutes
- Good written communication skills, including drafting emails, letters and reports
- Confident communication skills, with the ability to work with staff at all levels
- Experience of diary management and arranging meetings
- Ability to work using own initiative and respond to queries and problems effectively
- Good attention to detail and accuracy
- Ability to handle sensitive information and maintain confidentiality at all times
- Experience supporting recruitment processes and maintaining staff records (or willingness to learn)
- Ability to monitor stock levels and ensure resources are available when needed
- Flexible, approachable and able to work effectively as part of a team
