Job summary

  • Hertfordshire Community NHS Trust - Danesbury Neurological Centre - Receptionist - Permanent - 37.5 hours a week - Office Hours - Monday - Friday

The ideal candidate will be able:

  • To work as a member of the Danesbury Neurological Centre team which specialises in the treatment and management of patients with complex neurological conditions, usually progressive and usually affecting life expectancy.
  • To provide administrative support to enable the delivery of high quality multi-professional therapy packages to highly complex patients with neurological problems.
  • To act as first point of contact for telephone and face to face enquiries by patients, their relatives and carers, health professionals (both internal and external) and the general public on the Danesbury site and to support the smooth running of the Unit.

Main duties of the job

  • To answer the telephone and deal with enquiries.
  • To meet and greet and direct patients and other visitors appropriately.
  • To take room bookings.
  • To maintain reception diaries.
  • To type up and send out correspondence
  • To sort and process post.
  • To accept delivery of parcels.
  • To take responsibility for reporting faults.
  • To maintain an effective filing system.
  • To maintain the reception area including notice boards.
  • To carry out scanning and photocopying.
  • Print patient labels each week for patient folders.
  • Inform patients of appointment times.
  • To input and update accurate data and patient information.
  • To print off patient notes for legal requests.
  • To gather and send all patient notes and documentation to the medical examiner.
  • To book transport.
  • To contact patients by telephone.
  • To attend training sessions.
  • To comply with the organisational and department policies.
  • To comply with the organisational and development policies.
  • To assist in the administration and collection of Patient Satisfaction cards / questionnaires.
  • To communicate effectively with all members of the team at all times.
  • To deliver excellent customer care.
  • To communicate information effectively and appropriately to patients and carers.
  • To exercise personal initiative in dealing with enquiries.
  • To attend staff meetings as appropriate.
  • To liaise with the Site Administrator on the Danesbury Unit re transport and other appropriate patient related issues.

  • Educated to G.C.S.E. or equivalent.
  • NVQ level 3 in Business Studies or Administration or equivalent knowledge or experience.

Desirable

  • Customer Care experience

  • Experience of managing diaries and appointments
  • Good level knowledge of IT systems
  • Experience of composing and disseminating correspondence
  • Ability to organise and assess data received and judgement in managing appropriately dealing with queries and problems.
