Job summary
An exciting opportunity has arisen to lead a newly created team of medical secretaries, to support CAMHS medics, reporting to the Associate Medical Director. The role is offered at 25 hours per week across 4 or 5 days and is office based. The appointee will have a main base and will be expected to travel to other bases across Herefordshire and Worcestershire on a regular basis.
You will be friendly and approachable with excellent communication skills. You will have great IT skills and a keen eye for detail and accuracy. You will have significant experience of leading a team of people effectively and be able to exercise tact and discretion where necessary.
A typical day could include completing administration tasks for a part-time medic, minuting of meetings, use of ESR for effective line management, use of Rio to support patient related activities, monitoring inboxes and ensuring communication is of the highest standard, running reports using Aero or other relevant systems.

Main duties of the job
- Complete administration tasks for nominated medic
- Demonstrate effective IT skills to undertake a variety of administration tasks such as diary management, coordination of meetings, initiating responses to routine correspondence, gathering and presenting data.
- Demonstrate excellent attention to detail.
- Prepare and distribute agendas and take formal minutes.
- Deal with incoming and outgoing mail, including e-mail.
- Use tact and discretion where necessary and ensure confidentiality is maintained.
- Undertake small-scale project work, as required.
- Use ESR to oversee the effective running of the department.
- Lead, line-manage and coordinate administration staff across the department, including carrying out supervision and appraisals
- Act as a role model to colleagues, always seeking to maintain the highest standards of professionalism.
- Use your initiative and take responsibility for yourself and the quality of your work and the service you provide to patients, colleagues and stakeholders.
