Hours: Full Time - 37.5 hours per week

Contract Type: Permanent

Location: Base location either St Mary's Hospital, Parkhurst Road, Newport, Isle of Wight, PO30 5TG, or Queen Alexandra Hospital, Southwick Hill Road, Cosham, Portsmouth, PO6 3LY. Across site travel will be required, the frequency will be agreed locally.

This role is vital in ensuring both Trusts adhere to their legal and regulatory corporate governance obligations. The successful candidate will play a key role in establishing and maintaining a strong framework that supports both Trusts as well-led organisations, which includes providing assurance and escalating issues as needed.

Job Summary

  1. Secretariat Service Management:
    • Organise and execute a comprehensive secretariat service for the Board, its Committees, as well as the Executive and Trust Leadership Teams as required.
    • Ensure effective and efficient administration of Board activities in line with Corporate Governance arrangements, enhancing the overall governance of the Trusts.
  2. Support toChief Digital and Governance Officer:
    • Assist the Chief Digital and Governance Officer in implementing an effective corporate governance system.
  3. Administration Consistency:
    • Ensure consistency in the administration of Board activities, aligning with Trust policies and best practices in corporate governance.
  4. Liaison with Directors and Leadership Teams:
    • Collaborate with Executive Directors, Non-Executive Directors, and Trust Leadership Teams across both Trusts to fulfil the role's responsibilities in supporting the effective running of the Trust Board.
  5. Coordination and Oversight:
    • Coordinate and oversee key processes such as Standing Orders, Declaration of Interests, Gifts & Hospitality, and the Board and Committee Effectiveness review process.

Key Responsibilities

  • Organisational Efficiency:
    • Ensure the seamless operation of Board and Committee meetings by organising agendas, distributing materials, and maintaining accurate records of the proceedings.
  • Compliance Assurance:
    • Monitor compliance with legal and regulatory standards, providing necessary escalation when issues arise.
  • Stakeholder Engagement:
    • Build strong relationships with internal stakeholders to facilitate effective communication and collaboration.
  • Policy Coordination:
    • Manage and update corporate governance policies, ensuring transparency and accountability in all processes.
  • Risk Management Support:
    • Assist in identifying and managing risks associated with corporate governance, working closely with the Chief Digital and Governance Officer.

This role is essential for ensuring that both Trusts not only meet their governance obligations but also continue to excel as well-led organisations. The ideal candidate will be proactive, detail-oriented, and dedicated to maintaining the highest standards of corporate governance.

  • NVQ Level 4 (or equivalent experience)
