Job summary

As our Human Resources Assistant, you will play a pivotal role in our people function team. Day to day you will be working closely with our HR Business Partnering Team, supporting with a number of activities, and carrying out tasks to ensure the smooth running of our service for our stakeholders.

The successful person will be organised and have excellent attention to detail, and keen to ensure that deadlines are met, effectively and efficiently. Alongside being passionate about working in HR and enjoy working as part of a very supportive, hardworking, collaborative and people centred team.

This role is key to ensuring our HR Business Partnering Team delivers against many deadlines, with real drive and care needed by our HR Assistant in several HR matters and projects in support of our wider people agenda. Main duties of the job

To undertake general HR administration processes by way of data inputting, sending out standard letters and meeting co-ordination.

To provide a comprehensive administration service to the Sheffield Health and Social Care HR Business Partnering Team

To support the recruitment of new employees into SHSC.

Job responsibilities

To arrange and co-ordinate case conferences, meetings, hearings, training seminars, mediation sessions and other activates as required, including booking suitable accommodation, and liaising with attendees.

To support the Recruitment Administrators with the progression of candidates through employment checking

To carry out employment checking for existing employees e.g., DBS and professional registration.

To draft contracts of employment and amendments to Terms and Conditions of Employment letters

To monitor and maintain the generic mailboxes for the team.

To process other general enquiries including references.

To keep copies or records of all processed work (electronically) including case files, establishing, and maintaining databases or filing systems that ensure an audit trail of work is available.

To provide administrative support for the HR Business Partnering team where necessary during formal meetings e.g. sickness, performance and disciplinary. This may include taking detailed notes for transcription into formal noted records.

To provide a photocopying, scanning and shredding service for the operational team.

To provide a service accurately transferring written notes into electronic copies.

To monitor stationary supplies of the HR team and request orders, when necessary, with the appropriate member of the division.

To arrange meeting rooms as required for the HR Business Partnering Team, including arranging the team meetings.

Co-ordinating and maintaining the archiving procedure for HR case file and personal files.

To update and maintain the designated HR portal / website in relation to all employee relations matters.
