Job summary

An opportunity has arisen within the Equality Diversity and Inclusion Team for an EDI Administrator Part Time (22.5 hours per week).

The post holder will provide confidential, comprehensive, and efficient administrative support to the Associate of EDI to enable them to perform effectively within a challenging and complex regulated environment.

Working as a key member of a small team, the post holder will be responsible for ensuring the smooth running of the EDI Team in relation to its administration functions and support the delivery of key interventions within the EDI governance structure. They will manage the administrative, clerical, and secretarial needs of the service and ensure, through careful monitoring of workloads, that activity targets are met.

Along with a creative mind, having an interest in EDI and human rights is essential to this role. Whilst working at pace to meet deadlines and supporting the delivery of key actions is also a necessary skill.

Main duties of the job

While specific targets and objectives may change from time to time, the key accountability areas for this post are to:

Personal Assistant

  • Provide full secretarial and administrative support to the Associate Director of EDI
  • Ensure the Associate Director of EDI receives appropriate mail and messages and that these are dealt with in an efficient and timely way by recording, diverting, tracking, and prioritising. This will include drafting responses and discarding junk mail as necessary. This frequently requires decisions as to whether deputies should be contacted when out of office or contacting someone else in their absence.
  • Attend, prepare agendas, and minute all meetings chaired by the Associate Director of EDI and ensure that decisions made at these meetings are actioned satisfactory including appropriate dissemination and publication of minutes as required.
  • Manage/maintain electronic diary, arranging internal/external meetings, events, appointments, booking venues, travel arrangements and appropriate use of system.

Qualifications/ Registrations

Essential

  • Educated to equivalent of Level 3 Higher Education
  • A demonstrable proficiency in English Language
  • NVQ/QFC level 4 or equivalent experience

Desirable

  • Business or Administrative Qualification
  • Detailed awareness of EDI

Skills/ Abilities

Essential

  • Ability to deal with complex and sensitive information and strong attention to detail.
  • Excellent interpersonal skills to communicate effectively (written and verbal) with all members of a multi- disciplinary team
  • Ability to work effectively in a team, demonstrating accountability for own work and an ability to work on own initiative

Experience & Knowledge

Essential

  • Previous knowledge and experience of working in a busy office, undertaking a full range of administrative duties and providing a good standard of customer service
  • Proven business administration experience/ or PA which demonstrates the understanding of the key functions to providing an admin support service
  • Able to multi-task and effectively manage own workload in addition to team

  • Experience of working in the NHS or other public sector
  • Familiar with IT systems i.e., ESR, Trac, Health Roster, or similar
