An exciting opportunity has arisen within our Audiology
Reception Team based at Darlington Memorial.
Working 37.5 hours as part of our Audiology reception team,
the purpose of this role is to provide effective and efficient clerical,
reception and administration support within the Audiology Department, ensuring that administration processes meet
the needs of all service users. The post holder will be expected to use their
own initiative and work independently often without supervision.
The ability to work under pressure both individually and as
part of a team is important to ensure that deadlines are met. Good
organisational and interpersonal skills are essential in order to be able to
achieve this. Excellent customer service skills are essential for this role.
The successful candidate will be based at Darlington
Memorial Hospital and may be required to work at other sites within the Trust,
if necessary.
(Please note that some of the initial training
will take place at University Hospital North Durham)
Main duties of the job
To provide reception and administrative duties to the
Audiology Department, which involves inputting and maintaining accurate patient
information on Trust systems. To ensure quality and customer care standards are
met, contributing to positive patient experiences.
To provide an efficient reception service, including
answering the telephone and dealing with enquiries from patients, patients
families, GPs, other departments and manufacturers in a calm and polite manner
and in accordance with Trust policy.
To have the ability to multi task and prioritise
when dealing with patients enquiries, telephone calls and other administrative
duties.

To be responsible for the booking and cancelling of patient
appointments, both face to face and on the telephone and entering them on the
Trust patient administration system (Cerner) and the Audiology patient
administration system (AuditBase).
To send out all booking details and corresponding material
promptly.
To be responsible for the booking of any non-electronic
referrals and the consequent registration of patients on the PAS.
To ensure that tests /reports that are sent to the other
departments and logged correctly.
To liaise with other professionals, patients and departments
to arrange appointments.
To ensure that all postal requests for batteries and any
accessories are dealt with promptly and logged correctly.
To book and cancel patient interpreters for appointments
where necessary
To ensure the department complies with local and national
targets when cancelling and booking appointments.
To be responsible for the maintenance and input of
demographic and appointment data.
To ensure all Audiology patients are checked in and out
correctly on Cerner and Auditbase.
To ensure all hearing aid repairs are correctly logged in
and out of the department.
To manage incoming and outgoing communications for patients
and staff including post, emails, telephone calls and voice mail messages.
To open and distribute incoming mail and provide relevant
supporting information when required.
To provide administrative support for the Audiologists when
appropriate.
To provide photocopying as required for events run within
the department.
