Job summary

We are seeking a friendly, motivated, and organised Admin Assistant to join our busy Day Surgery Unit. This is an exciting opportunity to support a dynamic clinical team and make a real difference in the patient experience.

As a key part of the administrative team, you will play a vital role in ensuring the smooth running of day-to-day operations. This includes greeting patients, admitting patients to Electronic Patient Record, compliling activity lists, producing theatre lists. accessing patient records, and providing general administrative support to both clinical and non-clinical staff

We provide hospital services from two acute sites - Darlington Memorial Hospital and University Hospital of North Durham. We have a centre for planned care in Bishop Auckland and provide care from community hospitals in Chester-le-Street, Shotley Bridge, Barnard Castle, Sedgefield and Weardale as well as over 80 other community based settings and providing care in patients' homes.

Core Responsibilities:

1. Communication & Coordination

Handle telephone enquiries efficiently and professionally.

Take and relay accurate messages to relevant staff.

Communicate non-clinical advice and appointment details as directed.

Liaise with the theatre administration team to maintain strong interdepartmental communication.

2. Document & Data Management

Sort and distribute incoming mail and prepare outgoing mail.

Maintain an up-to-date filing and archiving system for paper notes, ensuring they are prepared for scanning.

Send emails, photocopy documents, and circulate important information such as theatre lists in a timely manner.

Enter and manage data in various departmental databases, including updating and reproducing theatre lists.

3. Appointment and Referral Handling

Make patient appointments and manage associated administrative tasks.

4. Infection Control Monitoring
