Main duties of the job
Support collating information as draft reports for Associate
Director of Nuring (ADN) review
Collate data for reports
Dairy management for ADN
Accurately maintain IPC databases / documents
Accurate taking of minutes, collating papers for meetings
Line management for the secretarial team

Job responsibilities
Provide a confidential, professional service as a personal
assistant, co-ordinating communication and information flow.
Maintain an efficient bring forward and filing system.
Manage the Associate Director of Nursings' diaries and
correspondence (paper and electronic), which will include:
Alerting
to important/urgent issues requiring action when it is clear that the issue
is one of high priority.
In the
absence of the Associate Director of Nursing acknowledge and respond to
enquiries and collate the relevant information required for their return, or
contact others who may be able to give a prompt response.
Email management.
Deal effectively with difficult/complex communications; this
might be from members of senior staff from the Trust or outside agencies.
Manage the preparation, production and distribution of
papers, agenda and minutes in support of meetings/committees.
Operate a robust recording system for meetings/minutes of
meetings in accordance with Trust policy.
Ensure the smooth running of the Directorate, including the
purchase of furniture, IT equipment etc. that may be required using the CARDEA
system.
Carry out problem solving / progress chasing on behalf of
the Associate Director of Nursing.
Organise complex meetings, conferences, training courses,
etc. and arrange venue, travel, accommodation, equipment and refreshments
Keep up to date with knowledge and skills required to
provide an efficient and effective service as a personal assistant and be
proficient in the use of the relevant technology available.
Undertake any other duties appropriate to the grade, as
delegated by the Associate Director of Nursing.
