Job summary
The General Surgery department at CDDFT is looking for a
motivated, organised individual to support their services as a Service
Administrator. The individual will ensure clinical activity is managed,
identifying risks. The Service Administrator will develop plans to deliver
administration effectively, applying lean methodologies to ensure cost effective
services and ensure clinical sessions are utilised effectively.
Main duties of the job
The post holder, will be required to co-ordinate designated
resources such as clinics and theatre lists to ensure efficient and maximum
utilisation. Within this remit the post holder will be required to negotiate
the use of clinical sessions with a range of clinical staff from both within
and external to the clinical team.
To validate data, ensure that waiting lists are accurate and
risks identified.
The post holder will develop and maintain a rota for the
clinical staff in the service.
The post holder will support in monitoring performance and
developing reports for the Head of Service.
The post holder will have delegated authority to approve
expenditure within the clinical service.
Act as an interface with the Patient Access Team
and Informatics team, to ensure waiting lists are managed effectively.

Main duties/responsibilities include:
Provide management support to the Head of Service, preparing
project plans and reports.
Manage the approval and monitoring of Consultant Surgeon
annual leave and study leave requests, making arrangements for adjustments in
clinic and theatres sessions.
Ensure theatre list and clinics are fully utilised.
Validate waiting lists reports.
Collate and prepare reports for the Head of Service,
including maintenance of activity monitoring tools.
Ensure the internet and intranet is accurate and regularly
updated for the service area.
Monitors and provides responses to Patient Choice web site
Ensure data quality issues are managed in line with trust
policy, within the service area.
Develop and maintain a rota for the clinical staff
Patient/Client Care:
Promote positive customer care for patients and staff, when
dealing with enquires from a range of internal and external parties, associated
with the clinical area.
Policy and Service Development:
The post holder will be responsible for ensuring any changes
in policy and procedures are communicated effectively across the clinical
teams.
Financial and Physical Resources:
Budget holder for stationary
within the service area.
Responsible for ensuring clinical sessions are fully
utilized and managing extra payment claims under the direction of Head of
Service.
Responsible for ensuring asset lists are maintained and
equipment replacement programme is updated on a regular basis, for the service
area.
Supports the Head of Service in procurement of new
equipment.
Human Resources:
Acts as line manager for secretary to Head of Service,
including recruitment, appraisal, continuing professional development and
performance issues.
Information Resources:
Ability to access and manipulate data from a range of
sources. Knowledge of health informatics systems.
Research and Development:
Ability to seek and collate information from a
variety of sources. Translating this information into project reports and plans.
