Job summary

The Receptionist will be an integral member of the Capital, Estates and Facilities Directorate who will be expected to work, quickly, proactively and accurately in a fast-paced environment to deliver a high quality and comprehensive service.

The post holder will be interactive and will liaise with a variety of customers, both internal and external to the Trust, building an excellent working relationship providing an efficient, effective and professional reception service.

The post holder will work as part of the Facilities Team and will be required to work closely with their colleagues, providing a flexible comprehensive service offering cover for colleagues when necessary, for which full training will be provided.

Please note - This role is not eligible for sponsorship unless you meet criteria by temporary exemption from current changes to immigration rules put in force on 22/07/2025. Separate provisions are applied to workers who have been sponsored and held continuously Skilled Worker visa since prior to 04/04/2024.

Main duties of the job

  • To act as first point of contact for the building, determining businessneeds and assisting all visitors with a welcoming, courteous,professional, friendly and helpful attitude at all times.
  • Ensure all visitors sign in and out of the building and are provided with relevant identification where required.
  • Contacting staff when appropriate to announce/advise visitor arrival.
  • To ensure all reception duties and processes are carried out in a timely and accurate manner.
  • To ensure all emails received in the 'generic reception email' accountare responded to and any requests/queries are dealt with.
  • Ensuring the meeting rooms are in a suitable state prior tocommencement of the meeting and the audio-visual (AV) equipment is switched on and working.
  • Liaise with Logistic Team to ensure room layouts are correct & partitions opened/closed if required.
