Job summary
An exciting opportunity has arisen for an experienced PA / Senior Administrator to join the Health & Justice Quality Team.
This post is crucial to the smooth and effective running of Health & Justice Services, providing comprehensive personal assistant support to the Head of Nursing & Quality and supporting the wider Quality team. The post holder is responsible for organising and servicing key meetings, managing small projects and supporting other key functions within the department including the co-ordination of Health & Justice Quality Performance relating to Her Majesty's Inspectorate of Prisons, Care Quality Commission, Health and Justice Performance and Quality Indicators.
The post holder will have experience of managing complex and sensitive business matters including working at senior management level, experience of administering senior management meetings, taking and producing accurate formal minutes. The post holder will have excellent organisational and forward planning skills and the ability to prioritise competing demands and work to tight deadlines.
Main duties of the job
To provide a comprehensive personal assistant support to the Head of Nursing & Quality and the wider Quality team.
Drafting of reports, papers and presentations as requested by the Head of Nursing & Quality and the wider Quality team.
Preparing appropriate management reports adhering to corporate formatting and deadlines on behalf of the Head of Nursing & Quality and wider Quality team.
To arrange and co-ordinate regular 1-1 meetings with Quality Matrons and site visits with Service Managers ensuring appropriate documentation is obtained and distributed for meetings.
To manage the organisation of key service meetings, including monthly multi-agency meetings including Patient Safety, Patient Engagement, Quality Improvement, Quality Team meetings and other adhoc meetings.
Line management of appropriate administrative staff within Health & Justice Services, including responsibility for training, PDRs, appraisals and staff development reviews, sick absence.
To undertake and participate in the Trusts appraisal/performance review process and knowledge and skills framework.
To undertake a range of small projects on behalf of the Head of Quality & Nursing.
To co-ordinate the collation, submission, distribution and uploading of evidence for audit standards (HMIP, CQC, HJIP) using appropriate systems and processes.
